Operations
- Responsible in monitoring team's performance (ensuring all AR entries are correct, invoices are processed on time, collections are made for accounts due and past due and accounts payables (OTA commissions, etc.) are paid in a timely manner.
- Monitor number of team members logged in to work on transactions as well as manage break/lunch schedules to ensure coverage.
- Coach agents and Senior Agents on performance (Monthly KPI) to ensure agents meet targets set.
- Ensures bad debts are forwarded to the collection log and all documentation on the impaired accounts are categorized accordingly based on the amount prior to requesting bad debt write-off.
- Take any escalations received by the team to address or raise to National AR Manager, Area AR Manager, Financial Controller, and CCOM where necessary.
- Attend fortnightly and monthly AR review with AU Finance team to discuss comments/challenges on invoicing, collections, folio picking and others that the team is facing.
- Gather and address collective input during the Tuesday weekly meetings to resolve any pressing issues and clarify team priorities.
- Oversee the preparation and timely distribution of the Monday AR dashboard, ensuring all property-related data is updated and forwarded to the relevant Australian team members without delays.
- Verify that all AR daily tasks, as outlined in the AR PD, are completed accurately and consistently by the team.
- Proactively address any additional issues or updates that arise, providing clear guidance and resolution promptly.
Communication
- Ensure that communication with customers, employees and others is honest, open and professional
- Communication with Hotel Managers and Head Office departments on a regular basis as appropriate.
- Foster a harmonious relationship between properties and the Central Reservations and Accounts Receivable Office.
- Notify the National AR Manager, Area AR Manager, Financial Controller, and CCOM of any issues immediately as they arise and provide appropriate solutions.
Health and Safety
- Take reasonable care for your own health while at work and ensure that your acts or omissions do not adversely affect the health and safety requirement of the account.
- Cooperate with any health and safety regulations in the workplace.
- Be familiar with all emergency procedures, operate pursuant to them and attend training as necessary.
- Be vigilant of hazards and risks within the workplace that could cause harm, immediately advise the National AR Manager, Area AR Manager, Financial Controller, and CCOM so they can take steps to remove or reduce the risk to workers.
- Ensure all injuries, accidents or near miss incidents are reported to the National AR Manager, Area AR Manager, Financial Controller, and CCOM and other relevant departments on the Incident Report as soon as practicable.
- Support all approved return to work and rehabilitation programs.
