As a Fleet Administrator, you are responsible for administering the corporate fleet operations policies, including procurement, maintenance, repair, modification, recalls, and disposal of vehicles and equipment. You believe in doing the job right. Being the best. And you're up for the challenge.
In addition, you will:
- Assist with the Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMCSA) compliance, data management, analysis, and reporting.
- Assist with the field on compliance with Driver Qualification (DQ) Files, Motor Vehicle Reports (MVR) process, and Carrier Safety Administration (CSA) reporting and follow-up.
- Interface with internal and third party system for DQ Files, MVR review process, and CSA Reporting.
- Assist with Fleet Managers and Drivers on updating expired items within DQ Files.
- Assist with the coordination of new DOT initiatives.
- Assists DOT department in obtaining supporting documents for new Driver qualification files and maintain the files for drivers to include medical cards and MVR records.
- Assist on analysis of DOT trends within MasTec internal system.
- Support records and data management functions.
- Reports to Sr. Compliance Manager
Knowledge, Skills, and Abilities:
- Previous administrative experience handling a multitude of tasks simultaneously
- Proficient with Microsoft Office software (I.E. - Excel formulas, formatting, reports)
- Utilize excellent verbal, written, and inter-personal communication skills (English)
- Demonstrate analytical and problem-solving skills with strong attention to detail
- Be highly motivated and able to work independently
- Maintain a high degree of confidentiality with sensitive information and perform all tasks with integrity
- Knowledge of DOT rules and regulations within Driver Qualification Files Excellent organizational skills

- Working Hours: 12pm EST -8pm EST
- Budget: $1660 to 2000 a month
- Essential Duties:
- Interface professionally and courteously with drivers and operations managers to ensure needs are met
- Assist in updating time zones on technician vehicles through use of the GeoTab system
- Support technicians in setting up Geo tab for their vehicles
- Assist in providing temporary fuel pin numbers to technicians that have had their pin turned off automatically due to system settings around delayed maintenance, excessive idling etc.
- Review and approve Purchase Orders for oil changes minor repairs
- Monitor and respond to phone calls from Holman related to vehicle breakdowns and assistance for towing and/or "winch outs"
- Assist with fleet transfers and dispositions as guided by the Fleet Management team
