About the position
We are looking for a Virtual Assistant to provide high-quality administrative and coordination support to multiple stakeholders based in Sydney and Melbourne. This role is focused primarily on diary management, travel coordination, and day-to-day administrative support for senior Advisory team members.
The role is well suited to an experienced Virtual Assistant or Executive Assistant who is highly organised, service-oriented, and comfortable supporting multiple stakeholders across multiple time zones. The successful candidate will be proactive, detail-oriented, and confident managing competing priorities in a fast-paced, professional services environment.

Key responsibilities
Top Priority Tasks
Providing diary and calendar management support for Sydney- and Melbourne-based
Advisory stakeholders, including scheduling internal and external meetings across
multiple time zones.
Coordinating domestic and international travel arrangements for Advisory team
members, including flights, accommodation, and ground transport.
Managing meeting logistics such as video conferencing links, agendas, and follow-up
actions.
Supporting ad hoc requests such as restaurant bookings, client dinners, off-site
logistics, and internal team events.
Acting as a reliable point of contact to ensure smooth day-to-day administrative
support for the Australia Advisory teams.
Other Important Tasks
Monitoring inboxes and assisting with meeting coordination and scheduling requests.
Preparing, formatting, and collating documents and presentations using Word, Excel,
and PowerPoint.
Supporting and coordinating the internal activities of the Advisory team such as internal events, off-sites, and trainings.
Supporting expense claim preparation and submission in line with internal processes. Maintaining accurate records, trackers, and simple reports (e.g. travel schedules,meeting logs).
Providing general administrative support to the Advisory team as required.

What we are looking for
Required attributes
2–5+ years experience as a Virtual Assistant, Executive Assistant, or similar
administrative support role.
Proven experience supporting multiple stakeholders simultaneously
Strong diary management and travel coordination experience
Excellent organisational skills with high attention to detail
Strong written and verbal communication skills in English
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual
meeting tools (e.g. Teams, Zoom)
Reliable, discreet, and service-oriented approach
Desirable attributes
Experience supporting senior leaders or Advisory / consulting teams
Experience working with global teams across multiple time zones
Familiarity with expense management or internal administrative systems
Proactive mindset with the ability to anticipate needs and solve problems
independently
The successful candidate would start 1 April 2026. We will review applications as they are received. Salary will be competitive with experience.
