The Projects Scheduler is responsible for the duties listed below:

DUTIES

  • Develop effective communication with both client, employees and subcontractors, ensuring productive working relationship
  • Ensure subcontractors used are on the Approved Supplier List or a One-Off-Supplier Application has been completed/submitted and approved
  • Daily – Schedule Projects and Maintenance works on our Urbanise Facilities platform including. work order requests
  • Daily – Email Account Management team works for the following day and follow-up with a with clients on all works.
  • Daily – Address customer queries
  • Daily – Coordinate appointments in conjunction with Account Managers and Special Projects Manager
  • Monthly – Schedule contractors and email scheduled work to contractors as per the work orders due report from Urbanise FM
  • Daily – Ensure subcontractors send email at the completion of each job, advising of completion details, budget and any issues experienced. Note comments as required on CRM
  • Daily – Advise Account Manager or Special Projects Manager of any issues advised by the contractor
  • Monthly – Last day of each month subcontractors to be emailed to ensure invoice summaries are submitted
  • Monthly – Check the subcontractor invoice summary and monthly invoice against the job number in Urbanise FM, ensuring budget etc. is correct – any issues are to be resolved before – confirming correct and providing to Special Projects Manager for authorisation of payment
  • Other duties as directed by the COO Integrated Services and State Managers.
