Legal Admin Assistant

Job Responsibilities

Describe the job role and the day-to-day tasks involved.

  • Assist in drafting and formatting legal documents, including pleadings, discovery, and client correspondence under supervision.
  • Support attorneys and senior paralegals in preparing digital materials for virtual hearings, mediations, and court appearances.
  • Organize and maintain electronic case files in compliance with firm standards, ensuring all documents are properly uploaded, labeled, and stored.
  • Coordinate with third parties such as expert witnessed, process servers, and court personnel.
  • Daily AV call with supervisor
  • Opening, maintaining, and closing files through (Tools)
  • Phone duties will include answering and making calls from / to debtors, clients, courts, sheriff, staff, other parties
  • Transcription of all phone calls
  • Monitoring of inbound debt recovery inbox
  • Diary management
  • Emails to debtors, clients and colleagues and courts
  • Generation of cost agreements from precedents
  • Billing and editing of same
  • Preparation of task lists

Qualifications

Describe the qualifications the staff must have in terms of skills and capabilities

  • Legal terminology knowledge
  • Document formatting (pleadings, declarations, discovery templates, letters, etc.)
  • Legal document review (spotting incomplete information, inconsistent formatting, or missing fields)
  • Data entry & document management (accurate input of case information in CMS, labeling PDFs, version control)
  • Calendar support (entering court deadlines or appointments based on instruction
  • Email and written communication
  • Knowledge of the Spanish language is an advantage but not a requirement.

  • Customer Service
  • Candidates with experience at an Australian law firm will be highly valued

  • Well-developed time management skills;

  • Intermediate skills in the MS Office suite (desirable)
