About the job Sales Administrative Assistant / Sales Support Coordinator
Department: Sales & Marketing (primary support)
Position Summary
The Sales Administrative Assistant provides administrative and operational support to the Sales & Marketing
department, also supporting the outside sales team, including National and Strategic Account Managers. This role is
responsible for maintaining accurate records in Salesforce, supporting day-to-day sales operations, and assisting
with project-based administrative work across the department.
Key Responsibilities
• Update and maintain accurate records in Salesforce, including account information, opportunities, and
pipeline data
• Log call activities, meeting notes, and customer interactions on behalf of outside sales reps
• Prepare, format, and edit documents, presentations, and correspondence using Microsoft Word,
PowerPoint, and Outlook
• Manage and organize files, folders, and shared resources in SharePoint
• Provide data entry support across various systems and reports as needed
• Assist with scheduling meetings, coordinating calendars, and managing correspondence for sales reps
• Support Sales & Marketing special projects with research, document preparation, and administrative
coordination
• Generate and distribute sales reports, dashboards, or activity summaries as requested
• Assist with preparing materials for client meetings, proposals, or presentations
• Support marketing initiatives as needed, such as coordinating collateral, event logistics, or campaign
tracking
• Respond to internal and external inquiries in a professional, timely manner
• Maintain confidentiality of sensitive account and customer information
Qualifications
• Strong English comprehension, speaking, and writing skills
• Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint)
• Experience with Salesforce or similar CRM systems preferred, training will be provided.
• Excellent organizational skills and attention to detail
• Ability to manage multiple priorities and meet deadlines
• Strong communication skills and a professional, customer-focused demeanor
• Ability to work independently and collaboratively with remote/outside sales teams
