Job Duties
- Execute the end-to-end processing of employee handover emails, ensuring all data is accurately migrated into company and customer databases.
- Manage the issuance and tracking of customer-mandated E-Learning modules to ensure personnel meet site entry requirements.
- Verify employee certifications against specific client training matrices to ensure 100% compliance before mobilization.
- Conduct scheduled audits of data entry and document uploads to maintain the highest level of data integrity within the system.
- Escalate complex certificate discrepancies or personnel issues to the Perth-based Personnel Logistics Group team for resolution.
- Generate ad-hoc reports to provide visibility into training statuses, expiring certifications, or onboarding progress.
- Provide rapid and professional responses to information requests from internal stakeholders and external clients.
Non-negotiables
- Minimum 3 years of experience in personnel logistics, workforce administration, or a specialized training coordinator role.
- Exceptional attention to detail, specifically the ability to cross-reference complex training matrices with various types of certifications.
- High proficiency in data entry and the management of web-based training or logistics systems.
- Strong English communication skills for professional email correspondence and clear escalation of issues.
- Ability to work effectively within the Australian business landscape, specifically aligning with Perth-based operational hours.
Preferred Skills/Experience
- Prior experience in the Mining, Resources, or Oil & Gas sectors, where site-specific training matrices are commonly utilized.
- Familiarity with personnel logistics software and E-Learning management platforms.
- Proven ability to maintain data integrity under high-volume conditions with frequent "handover" cycles.
- Strong analytical skills for identifying trends or gaps during the scheduled audit process.
- Demonstrated resilience and the ability to meet tight deadlines associated with employee mobilizations.
