Your Role:

As a Junior Document Controller, you will:

  • Assist in the preparation and formatting of Commission Agent and Dealer Agreements using standardized templates.
  • Maintain and update digital document trackers, logs, and Safe Custody databases to ensure all records are current.
  • Coordinate the distribution and tracking of electronic signatures via DocuSign, ensuring all parties execute documents on time.
  • Organize and securely store physical and electronic files, including scanning, archiving, and managing version control.
  • Monitor expiry dates for bank guarantees and securities, flagging upcoming renewals to the senior team for action.

What You Need:

Non-negotiables

  • Minimum 1–2 years of experience in an administrative support or document control role.
  • Proficiency in Microsoft Office, particularly Word (for document formatting) and Excel (for tracking and logs).
  • Exceptional attention to detail with the ability to spot inconsistencies in high-stakes legal documentation.
  • Strong organizational skills to manage multiple tasks and strict deadlines simultaneously.

Preferred skills/expertise

  • Relevant diploma or degree in Business Administration, Legal Support, or a related field.
  • Familiarity with the implementation and adoption of DocuSign or similar digital management solutions.
  • Basic understanding of Australian business identifiers, such as ABNs or company search protocols.
  • Experience in "Safe Custody" environments where physical security of original documents is a priority.
  • Demonstrated ability to follow complex Standard Operating Procedures (SOPs) and document control guidelines.
