Purpose of the Role
To hold national ownership and accountability for all Fuel System Assets – including Pumps, Dispensers, Underground and Above Ground Fuel Storage Tanks (UST's and AST's), Submersible Turbine Pumps (STP's), Underground & Above Ground Lines and Pipework, LPG Systems, POS and Communication related assets across United Petroleum's retail and property portfolio, ensuring safe, compliant, reliable and cost-effective operation.
An operational role within the Repairs and Maintenance (R&M) team based in Manila, directly managing Australian Contractors to Improve customer outcomes and business performance. You will manage all aspects of Fuel System Assets in relation to Hose Contract Maintenance Management, general maintenance, repairs, servicing, calibration, testing and minor project related works. Manage the 'end to end' Work Order process for all Fuel System associated work requests. This includes job management; work request receipt, prioritisation, contractor selection, Work Order issuing, contractor allocation & follow up; obtaining and reviewing quotes in line with Business expectations and processes, follow jobs through to completion, invoice receipting, reviewing and processing / approving as per agreed Business processes.
The role is essential to managing the integrity of the Fuel System assets, whilst balancing cost, contractor performance, uptime of the assets and compliance.
Contractor Management is a critical part of this role to ensure professional, prompt and responsive engagement and management of contractors for all Fuel System related repairs, maintenance, quotes, attendance, quality and pricing. These are all key components of the role, ensuring seamless operations with a strong focus on safety, compliance and performance.
The ideal candidate will bring deep expertise in Fuel System maintenance management, in a Retail Service station / Petrol station environment combined with proven capability in contractor oversight, commercial decision-making, and technical problem-solving across a large, geographically dispersed portfolio.
They will thrive in a fast-paced, national, multi-location operating environment, demonstrating the ability to respond rapidly to operational issues, manage competing and frequently changing priorities, and make sound, risk-based decisions under pressure to achieve the best outcomes for the business.
Provide backup, support and coverage to other team members across varied R&M categories as and when needed.
A knowledge of other maintenance categories would be an advantage, and this role requires flexibility to work across different category portfolios to assist the overall team as and when needed. Examples of these categories being Fuel Systems, HVAC, Refrigeration, Electrical, Plumbing & Drainage, Fire Safety, Coffee and Kitchen Equipment, Buildings, Forecourt, Grounds and General Maintenance.
Must be available to go on an On Call / After Hours roster as a part of the role.
This role is based in the MicroSourcing Head Office in Quezon City, Eastwood, Manila. The role is office based and the expectation is to be in the office 5 days per week, during the Business hours agreed to meet customer requirements. This is not a Home Based or Hybrid role.
Key Accountabilities

The responsibilities of the Pump Maintenance Specialist role – will include but not be limited to:
- Driving contractor performance ensuring they deliver on quoted obligations and United standards within strict timeframes.
- Develop and improve United's standards for Fuel System related R&M across the network.
- Develop new Fuel System maintenance and project contracts and contractors, manage and strengthen working relationships with both new and existing service providers and teams to foster collaboration, reduce inefficiencies and align performance with business objectives and priorities.
- Assist in the development of project plans, system improvements and KPI's.
- Ensure compliance with industry regulations and best practice.
- Ensure robust safety protocols and all work completed in accordance with WorkPlace Clearance Group (WPCG) Standards (Clearance Issuer, Minor Control Checklists and Permit Writing as required) – especially when completing any works within the Hazardous Areas (HA) of the Retail Service Station site.
- Build and maintain strong relationships with multi discipline team members.

- Reduced long-term maintenance costs, through pro-active contract management, structure and pricing.
- Budget planning, analysis and regular reporting.
- Maintain positive relationships through various communication channels (both internal and external).
- Maintain and manage the CMMS system (MC / TAG etc), ensuring all contractors, accounts, work orders and invoices are processed according to SOP's and KPI's.
- Maintain records of all planned maintenance processes and work orders.
- Regularly assess and update SOPs to enhance safety, efficiency and effectiveness.
- Identify opportunities for streamlining processes and reducing costs.
- Implement innovative solutions to improve productivity and resource utilisation; focus on utilisation of existing tools such as CMMS (MC / TAG etc), and Safety Culture and/or new systems as they are developed and rolled out.
- Track key metrics to measure safety gains and cost savings and ensure these are reported through your Line Manager to the Business.
