Loft Electrical Group is seeking a reliable and detail-oriented part-time Administrative Assistant to support daily business operations. The role will focus on reporting, documentation, financial administration support, and general inbox management. Core Responsibilities 1. Reporting & Documentation (SafetyCulture) • Preparing and formatting service reports using SafetyCulture (formerly iAuditor) • Reviewing submitted field reports for completeness and accuracy • Uploading photos, test results, and compliance documentation • Formatting reports into client-ready PDFs • Maintaining structured digital filing systems • Assisting with compliance documentation and asset registers 2. Accounting & Xero Administration • Preparing invoices in Xero based on completed works • Monitoring accounts receivable and following up outstanding invoices • Processing supplier invoices and matching to purchase orders • Assisting with expense tracking and job cost allocation • Maintaining accurate financial records 3. Email & Enquiry Management • Managing company inbox • Responding to general enquiries using provided templates • Flagging urgent or technical matters for director review • Organising email folders and maintaining clean communication records 4. General Administrative Support • Creating and updating spreadsheets (Excel/Google Sheets) • Assisting with document formatting (Word/PDF proposals, scopes of works) • Maintaining project tracking registers • Supporting scheduling coordination when required • Basic CRM/database entry ⸻ Skills & Experience Required • Strong written English communication skills • Experience with Xero (essential) • Experience with SafetyCulture/iAuditor (preferred but not mandatory) • High attention to detail • Ability to follow structured processes • Strong organisational skills • Comfortable working independently • Experience supporting a trades, construction, or electrical business (preferred) ⸻ Working Hours • 40 hours per week • Must have availability overlapping with Australian Eastern Time (AEST) for at least part of the working week ⸻ Reporting Structure • Reports directly to the Director • Clear task allocation and process documentation will be provided •
