Job Description
Key Responsibilities
Accounting Support (Subcontractors and Vendors):
- Manage subcontractor accounts payable, including invoice processing and payment tracking.
- Collect, review, and track lien waivers from subcontractors and suppliers.
- Manage preliminary notices, ensuring timely submission and accurate record-keeping.
- Maintain compliance with subcontractor documentation requirements, including insurance certificates, W-9s, and contracts.
Human Resources Support (Employees):
- Coordinate the onboarding process for new employees, including offer letters, background checks, and benefits enrollment.
- Manage employee records, ensuring all required documentation is completed, accurate, and properly filed.
- Administer health insurance enrollments and terminations, and communicate with benefits providers as needed.
- Maintain and update employee databases while ensuring compliance with company HR policies.
General Responsibilities:
- Maintain accurate and well-organized filing systems for accounting and HR documentation.
- Assist with compliance tracking and reporting requirements.
- Identify opportunities to improve processes and recommend workflow enhancements.
Qualifications
- At least 3 years of experience in accounting and/or HR support roles, preferably with U.S.-based companies.
- Experience with U.S. HR and payroll processes.
- Prior experience working with subcontractors, accounts payable, lien waivers, and preliminary notices is strongly preferred.
- Proven experience in employee onboarding, benefits administration, and HR documentation management.
- Excellent verbal and written English communication skills.
- Strong attention to detail and organizational skills.
- Experience with Paycor and Trimble Spectrum software is a plus.
- Strong time management skills with the ability to meet deadlines independently.
- Proactive problem-solver with a positive attitude and a willingness to take ownership of responsibilities.
