About the job Assistant Project Manager
Dual Fuel is seeking a proactive and detail-oriented Assistant Project Manager to join our dynamic team. This position is ideal for someone with strong organization skills, a hands-on mindset, and a passion for helping projects run smoothly from start to finish.
Job overview: The Assistant Project Manager will support a variety of mechanical and plumbing installation projects from initial planning through final delivery. This role works cross-functionally with operations, sales, subcontractors, and utilities to ensure timelines, budgets, and compliance requirements are met.
Duties Include:
- Project Administration
- Summarize and maintain job folders, to include all key components of work
- Manage time tracking and employee hours, including collecting time sheets, maintaining hourly data by employee and job, and providing sign in sheets to accounting.
- Maintain Project Spreadsheet with current status and next steps
- Weekly scheduling and job assignments
- Finance & Procurement
- Process change orders and purchase orders
- Review and submit supplier invoices
- Track project invoicing status and submit daily and weekly invoicing instructions to accounting
- Assist procurement in purchasing the equipment and subcontracted services to ensure that all conditions of contract documents are identified/accounted for.
- Track inventory and order replenishment stock
- Compliance & Documentation
- Assist with DOB and utility paperwork
- File ConEd cases and manage communication
- Schedule inspections and submit rebate documentation
- Gather and maintain subcontractor compliance records, including certificates of insurance, scope of work, contacts and executed subcontractor agreements.
- Communication & Coordination
- Liaise between Sales, Subcontractors, Suppliers, and Accounting
- Use Slack, Asana, BuildOps and other platforms to track updates
Required Experience
- 2 years experience as an executive assistant or similar position managing complex projects and schedules
- Prefer past experience working within a construction company with hands on experience in assisting or managing construction projects
- Excellent time management skills with ability to multi-task and prioritize work
- Strong communicator, both verbally and in writing
- Computer skills include Microsoft Excel/Word and Google Apps (mail, calendar, spreadsheets, shared drive, etc.) with experience using BuildOps, Slack and/or Asana strongly desired
- Prefer 4-year degree with studies in construction, engineering, mechanics, and/or project management.
