Purpose of Role

The Bulk Fuel Scheduler is responsible for planning, scheduling, and coordinating bulk fuel deliveries to ensure safe, compliant, and efficient distribution across the network. The role supports uninterrupted supply to customer sites by managing daily schedules, responding to operational changes, and maintaining strong communication with drivers, carriers, and internal stakeholders.

This position plays a key role in ensuring service reliability, HSSE compliance, and customer satisfaction within a fast-paced, regulated logistics environment.

Accountabilities

  • Develop and maintain daily and forward bulk fuel delivery schedules to meet operational requirements and customer demand.
  • Monitor scheduled activity throughout the day, proactively managing disruptions, delays, and changes to minimise service impact.
  • Communicate schedule changes clearly and promptly to drivers, carriers, customers, and internal stakeholders.
  • Ensure all scheduling activities comply with HSSE standards, Dangerous Goods regulations, fatigue management, and company policies.
  • Support fleet utilisation and efficiency by optimising delivery routes, load planning, and resource allocation.
  • Monitor fuel stock levels at nominated sites and escalate potential supply risks in a timely manner.
  • Maintain accurate scheduling records, delivery data, and operational documentation.
  • Complete required daily scheduling and performance reports.
  • Liaise with carriers and drivers regarding delivery requirements, road conditions, access constraints, and customer instructions.
  • Support the Scheduling Team Leader with operational insights, reporting, and continuous improvement initiatives.

Key Selection Criteria, Qualifications & Experience

  • Previous experience in logistics scheduling, dispatch, or transport coordination, preferably within fuel distribution, oil & gas, or regulated logistics environments.
  • Understanding of transport operations, fleet scheduling, and delivery execution; exposure to Dangerous Goods regulations is advantageous.
  • Ability to work effectively in fast-paced, time-critical environments with competing priorities.
  • Strong attention to detail and analytical capability.
  • Proficiency in Microsoft Excel and scheduling or transport management systems.
  • Clear, professional communication skills with the ability to liaise effectively with drivers, carriers, and customers.
  • Strong problem-solving skills and the ability to respond calmly to operational disruptions.
  • Flexibility to work rotating shifts (including weekends) and provide after-hours support as required, including coverage during Philippine public holidays.
