As the Recruitment Manager, you will be responsible for both leading the recruitment team and personally driving high-priority staffing assignments. Youll oversee day-to-day scheduling, manage last-minute backfills, and ensure compliance and operational excellence at all times.
Job Overview
This role combines leadership, strategic workforce planning, hands-on recruitment, and scheduling oversight. You will lead a team of Recruitment Coordinators and Specialists to deliver exceptional service to clients, while also managing your own portfolio of urgent, complex, or high-impact staffing needs.
Youll work closely with clients to anticipate demand, maintain a ready-to-deploy talent pool, and implement proactive recruitment strategies. Youll also be a key player in on-call crisis management, ensuring last-minute issues are resolved without compromising service quality.

Key Responsibilities
Strategic Staffing & Talent Acquisition
- Lead full-cycle recruitment for your own portfolio of urgent and high-priority roles, from sourcing and screening through to offer and placement.
- Oversee team performance to ensure rapid and effective talent placements, providing guidance and intervention when fill rates drop or urgent needs arise.
- Build and maintain talent pipelines for recurring and hard-to-fill positions using job boards, LinkedIn, ATS databases, referrals, and networking strategies.
- Conduct thorough candidate assessments through interviews, skills evaluations, reference checks, and compliance verification to ensure readiness for placement.
Scheduling & Workforce Management
- Oversee daily scheduling across client facilities, ensuring 100% shift coverage and proactive backfilling of open shifts.
- Manage last-minute cancellations by reallocating resources or sourcing replacements quickly to minimize service disruption.
- Coordinate with the after-hours team to manage urgent staffing requests, emergencies, and shift escalations outside of standard working hours.
- Streamline scheduling processes by improving communication channels, optimizing shift allocation methods, and leveraging technology for faster turnaround times.
Client & Candidate Relationship Management
- Act as the main point of contact for priority client accounts, handling escalations, feedback, and staffing updates.
- Conduct regular check-ins with clients to understand upcoming staffing needs and confirm satisfaction with current placements.
- Resolve service issues quickly by identifying root causes and implementing solutions that maintain trust and retention.
- Develop long-term candidate relationships by providing career guidance, consistent communication, and opportunities for professional growth.
Leadership & Mentorship
- Lead, coach, and mentor Recruitment Coordinators and Specialists, ensuring they have the skills, tools, and support to meet their KPIs.
- Conduct daily huddles to align on staffing priorities, urgent shifts, and team targets.
- Share recruitment best practices in sourcing, interviewing, and ATS optimization to improve overall team efficiency and performance.
Compliance & Risk Management
- Ensure all placements meet credentialing, licensing, and background check standards in line with healthcare regulations.
- Conduct regular compliance audits to verify that all active staff have valid and up-to-date documentation.
- Collaborate with compliance team to address and resolve risks before they impact client service.
Performance Tracking & Process Improvement
- Monitor key staffing metrics including fill rate, time-to-fill, candidate retention, and pipeline health.
- Prepare and present monthly reports with workforce trends, client demand analysis, and improvement recommendations for leadership.
- Identify and implement process improvements to reduce bottlenecks, increase placement speed, and enhance overall service quality.
On-Call Crisis Management
- Be available for on-call responsibilities to handle urgent staffing requests, last-minute cancellations, and client emergencies outside of regular business hours.
- Coordinate rapid response staffing by activating backup candidate pools and working closely with the after-hours team.
- Ensure smooth communication with clients and staff during off-hours incidents to maintain service continuity.
Qualifications
- 4-6 years of full-cycle recruitment experience, with at least 2 years in a leadership role (healthcare preferred).
- Proven track record in high-volume staffing and scheduling, ideally within healthcare or a similarly fast-paced environment.
- Demonstrated success in leading and mentoring recruitment teams, including performance management and coaching.
- Strong organizational, communication, and problem-solving skills, with the ability to manage competing priorities effectively.
- Proficiency with ATS, CRM systems, LinkedIn Recruiter, Boolean search, and scheduling software.
- Comfortable working under pressure with the flexibility to handle on-call responsibilities when needed.
