About the Job:

Our client is seeking a highly detailed-oriented and proactive Documentation Executive to join their dynamic freight forwarding team in Sri Lanka. The successful candidate will be responsible for handling all aspects of shipping documentation, ensuring compliance with relevant regulations, and supporting the smooth flow of logistics operations.

Key Responsibilities:

  • Prepare, process, and manage all necessary shipping documentation, including but not limited to, Bills of Lading, Air Waybills, manifests, customs declarations, and other related paperwork.
  • Ensure accuracy and completeness of all documentation in accordance with company policies and international shipping regulations.
  • Liaise with clients, shipping lines, airlines, customs authorities, and other stakeholders to obtain required information and resolve documentation discrepancies.
  • Monitor and track shipments, providing timely updates to clients and internal teams regarding documentation status.
  • Ensure compliance with all import/export regulations, customs procedures, and trade compliance requirements.
  • Assist in the preparation and submission of customs entries and other regulatory filings.
  • Maintain accurate and organized records of all documentation.
  • Support the logistics team in various operational tasks to ensure efficient and timely delivery of goods.
  • Stay updated on changes in shipping regulations, customs laws, and industry best practices.

Qualifications and Experience:

  • Minimum 2 years of experience in freight forwarding documentation.
  • Possession of a Certificate in logistics services and freight forwarding is highly preferred.
  • Strong knowledge of Import/Export documentation processes and procedures.
  • Proficiency in HS Code classification (preferred).
  • Familiarity with ASYCUDA system (advantageous).
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Willingness to work long hours and/or weekends if required to meet operational demands.
