Job Summary: The Transaction Coordinator is essential to ensuring smooth, organized, and timely real estate transactions. This role involves managing documents, coordinating communication between multiple parties, and supporting the realtor from contract to closing. You will play a critical role in maintaining accuracy and compliance throughout the transaction process.
Key Responsibilities:
1. Transaction Coordination:
- Manage and track all stages of real estate transactions from contract to closing.
- Ensure all documents are complete, accurate, and submitted promptly (e.g., purchase agreements, disclosures, amendments).
- Monitor deadlines and maintain a detailed timeline to ensure on-time closings.
2. Administrative and Organizational Support:
- Maintain transaction files and update databases, ensuring accurate and organized record-keeping.
- Coordinate appointments, inspections, and closings.
- Assist in preparing client correspondence, reports, and follow-ups.
3. Technology and Software Management:
- Utilize transaction management systems such as Dotloop, Skyslope, or similar platforms.
- Manage calendars and scheduling using Google Calendar, Outlook, or equivalent tools.
- Use file-sharing platforms like Google Drive, Dropbox, or Box for secure document management.
4. Customer Service and Client Relations:
- Serve as a professional and helpful point of contact for clients and stakeholders.
- Address client inquiries, resolve issues promptly, and maintain a high level of service.
- Ensure clients feel informed and supported throughout the transaction.
5. Data Accuracy and Compliance:
- Accurately input and update client and transaction data.
- Proofread documents to ensure error-free submissions.
- Uphold confidentiality and comply with relevant real estate regulations.
6. Optional Marketing Support:
- Assist with social media content creation and property marketing if needed.
- Support the creation of marketing materials such as property flyers and email campaigns.
Qualifications:
- Strong understanding of real estate transactions, contracts, and processes.
- Excellent administrative, organizational, and time management skills.
- Experience with real estate transaction software (Dotloop, Skyslope, or equivalent).
- Proficiency with Microsoft Office, Google Suite (Docs, Sheets, etc.), and cloud-based tools.
- Exceptional attention to detail and accuracy.
- Strong interpersonal and customer service skills.
- Self-motivated, adaptable, and able to work independently without supervision.
- Ability to handle sensitive information with discretion and professionalism.
Education & Experience:
- Prior experience as a transaction coordinator is required.
System Requirements:
- Computer: Two devices with at least an Intel i5 processor, 8GB RAM, and Windows 10 or higher.
- Monitors: Dual monitors for desktop or one external monitor for laptop use.
- Internet: Primary wired connection with at least 100 Mbps speed; backup internet (mobile hotspot or alternative location) required.
