Job Summary: We are looking for a detail-oriented and people-driven HR Specialist to help manage and scale our talent acquisition and client fulfillment operations. This role is key to maintaining the quality and speed of our staffing delivery, ensuring our clients receive top-tier virtual assistants that match their unique needs. You'll be responsible for screening candidates, coordinating placements, supporting onboarding processes, and managing internal HR systems and workflows.

Key Responsibilities:

  • Talent Pipeline & Screening
    • Manage the end-to-end candidate pipeline: review applications, conduct initial screenings, and assess candidate alignment with client requirements.
    • Maintain an active and organized database of qualified virtual assistants for rapid deployment.
    • Collaborate with recruiting teams to ensure smooth handoff and tracking of applicants. 
  • Client Coordination & Fulfillment
    • Liaise with the Sales and Client Success teams to understand role requirements and timelines.
    • Match vetted candidates to client opportunities with speed and precision.
    • Ensure timely communication with both clients and candidates during the matching and placement process. 
  • Onboarding & HR Operations
    • Oversee onboarding processes for newly placed virtual assistants, ensuring smooth client integration.
    • Coordinate contract execution, setup of communication channels, and delivery of training material.
    • Support operational HR tasks, including documentation, systems setup, and performance tracking. 
  • Process Management & Tools
    • Maintain accurate records in our CRM (preferably GoHighLevel) and HR systems.
    • Help develop and document SOPs for recruiting, onboarding, and performance review cycles.
    • Support reporting and analytics around candidate conversion, client satisfaction, and fulfillment speed. 

Qualifications:

  • 1-2 years of experience in recruiting, HR coordination, staffing, or operations.
  • Experience with CRM and ATS tools; familiarity with GoHighLevel is a strong plus.
  • Previous remote work or virtual team coordination experience is preferred.
  • Strong computer skills.
  • Excellent organizational and multitasking skills.
  • Strong interpersonal communication, both written and verbal.
  • Comfortable managing data, tracking performance, and using tools to streamline workflows.
  • High attention to detail and accountability.
  • Service-oriented mindset with a strong sense of urgency.
  • Adaptable, resourceful, and excited to work in a fast-paced, entrepreneurial environment. 

System Requirements:

  • Computer: Minimum Intel i5 processor, 8GB RAM, Windows 10 or higher.
  • Monitors: Two monitors for desktops OR an external monitor for laptops.
  • Internet: Stable wired connection with at least 100 Mbps speed (higher preferred for WiFi).
  • Backup Internet: Secondary internet source capable of handling full workload OR access to a backup location.
  • Power Backup: Uninterrupted power supply for at least 8 hours OR a backup location accessible within 30 minutes.
  • Work Environment: Dedicated, quiet workspace conducive to professional communication.
  • Headset: Noise-canceling headset for clear audio during virtual meetings and calls.

Additional Requirements:

  • No bad records from previous employers and no derogatory records.
  • Must pass required assessment and screening.
