Our CEO is a serial entrepreneur with multiple companies and projects in the works. She needs someone who can think on their feet, get things done with minimal direction and be her eyes and ears. We need an Executive Assistant to be the right hand to our CEO in day to day operations including, but not limited to, answering calls, taking messages, working on complex projects, scheduling, etc.
You will work directly with the CEO & Founder of the company and will be an active force in supporting the company's culture across our remote team with a diverse set of backgrounds, cultures, languages and time zones.

RESPONSIBILITIES:
- Manage our CEOs calendar and to-do list, exercising considerable discretion and judgment regarding how to prioritize and effectively use his time.
- Support our CEO leading up to and during meetings: scheduling, drafting agendas and presentation materials, taking detailed notes, assigning action items, tracking deadlines and following up to ensure completion.
- Assist with the scheduling and organization of key events, such as meetings with potential acquisition targets, internal milestones, staff training, workshops, conferences, etc.
- Arrange and assist with booking travel.
- Improve overall file organization and ensure that file organization systems and informational documents are clear and up-to-date.
- Assist with drafting initial budgets, proposals and presentations.
- Create templates and mailing lists to facilitate email communications.
- Oversight of Marketing teams daily efforts.
- Create documentation system to manage all incoming correspondence, proposals, bids, etc.
- Process expense reports and other documentation for management team.
- Complete a broad variety of administrative tasks for the CEO including executing clerical and daily business support
- Execute logistic and operational tasks
- Complete errands tasks provided
- Assist in research projects as needed
- Coordinate appointments, meetings, and schedules as needed
- Other duties as assigned.
EXPERIENCE:
At least 5 years of Admin/Assistant experience supporting high-level executives in a start-up environment.
Strong written and verbal communication skills, in both English (must be fluent and able to use with ease, professionally and articulately). Additional proficiency in a foreign language is a plus.
High degree of professionalism, integrity, and confidentiality.
Demonstrated ability to communicate clearly and effectively, and across multiple teams and work streams.
Ability to work independently and take initiative, while also knowing when to ask for help.
Forward thinking, with capacity to anticipate needs or areas of improvement.
Emotional intelligence and strong can-do attitude, with the ability to balance patience and persistence while working closely with others.
Demonstrated ability to work under multiple, simultaneous strict deadlines, and effectively prioritize tasks without details falling through the cracks.
Strong proficiency with basic technology: G-suite, MS Office, Zoom, etc.
Comfort with scheduling and project management software.
Problem solver who actively seeks opportunities and proposes solutions.
Interested in growing with a company.
Very detail oriented and organized.
Can take feedback well and are flexible to make change.
Requirements
Must have reliable communication available (phone, internet, laptop)
Proficient in Microsoft Office, Google Workspace, Acuity, Canva, Wordpress, Mailchimp, etc.
Project management experience
Effective and clear communication both written and verbal
Strong proofreading ability
Fluency in both written and spoken English
