About the job HR Coordinator
Primary Purpose
The HR Coordinator will assist the Group HR Executive in the day-to-day HR functions and ensuring the smooth operation of HR processes at Head Office and in other Mont Choisy Group entities. The role of the incumbent involves overseeing the recruitment, employee relations, performance management, payroll, training and development, staff welfare and compliance at Mont Choisy Group. The HR Coordinator will act as a strategic partner to the management team, contributing to the overall success of the organisation by providing HR expertise and support.
Responsibilities:
The responsibilities of the HR Coordinator englobe Mont Choisy Group (Head Office) and an oversight of the Mont Choisy Le Golf HR Operations:
Administration
- Ensure the office functions well and is adequately managed in terms of security and supplies.
- Effective filing of key documents originals on the company's electronic database and HRIS.
- Compile HR statistical report by gathering information from MC Group entities.
- Compiles relevant employee data to enable decision making as appropriate by management.
- Oversee the Administration team/department.
- Oversee the staff fuel consumption and business calls
- Liaison with Total energy and Telecom for allocation of fuel and sim card
Recruitment
- Perform job postings, preparing summary databases, screening, shortlisting and interviewing.
- Provide post interview feedback to candidates
- Perform reference checks.
- Collaborate with Head of department to identify staffing needs in the Operations team
- Conduct induction to newcomers as per the internal HR process.
- Onboarding of newcomers for Operations level
Employee Relations
- Serve as a point of contact for employee concerns and grievances, ensuring timely and effective resolution.
- Promote a positive workplace culture through effective communication and conflict resolution.
- Conduct exit interviews and analyse feedback to improve employee retention
HR Database
- Maintain and update Staff files and staff database.
- Assist in the drafting of policies and processes.
- Assist in reviewing the HR SOPs.
- Perform audits on employee files and be a support during external HR audit
Performance Management
- Liaise with line managers for the preparation of staff KPIs for newcomers and end of year performance assessments.
- Assist Heads of Department to draft SMART KPIs.
- Provide guidance to Heads of Department on performance improvement plans.
- Prepare and provide status to the GHRE of rating on the final performance assessment.
Welfare
- Events Organisation: Assist in organising the yearly Team Building, Strategy Away Day, Staff End of Year party and the welfare team in yearly activities.
Payroll-Operatives
- Effective payroll management including verification of overtime, allowances, terminations, newcomers, and deduction for operations level.
- Strict adherence to payroll calendar dates and submission of data to outsourced payroll service provider.
Disciplinary
- Proper follow up of all disciplinary matters and documentation within legal deadlines.
- Keeping confidentiality on disciplinary matters.
Other HR tasks:
- Compile HR Statistics / presentation on a monthly basis.
- Track of probationary period.
- Assist in the follow up of yearly/monthly medical and pension contribution of employees.
- Assist in the rolling out of the values workshop
- Perform any other assignment as may be delegated
Qualifications:
- Degree in Human Resources Management
- Knowledgeable with HRIS like Vipertex and Sicorax
