Work Shift: Flexible, with overlap preferred during team working hours
Working Hours: Part-time to Full-time (based on workload)
Job Description:
We are seeking a highly organized Operations & Inventory Coordinator to support day-to-day operational execution across forecasting, inventory management, supplier coordination, fulfillment, and product setup.
This role is execution-focused and requires someone who is comfortable handling detailed operational tasks, working with spreadsheets and systems, and communicating with suppliers and fulfillment partners.
The position will support inventory planning, reorder management, product launches, logistics coordination, and ongoing operational processes for a growing ecommerce business.
The ideal candidate is detail-oriented, reliable, and able to manage multiple operational workflows at the same time. This role is critical to keeping inventory, suppliers, and fulfillment running smoothly, and requires someone who can follow structured processes while also identifying issues early.
Key Responsibilities:
Forecasting & Inventory Management
Build and maintain demand forecasts per SKU
Analyze sales velocity and historical trends
Plan inventory around promotions, launches, and seasonal demand
Monitor stock levels across SKUs and warehouses daily
Set and maintain reorder points for each SKU
Determine reorder quantities based on forecast and lead times
Flag stockouts, overstock, slow-moving, and aging inventory early
Reorder & Supplier Coordination
Communicate with manufacturers regarding reorders via email or messaging
Track production timelines and follow up on delays
Confirm pricing, MOQs, and payment terms with suppliers
Verify quality standards before shipment
Maintain and update the internal supply database
Manage relationships with suppliers for packaging, accessories, and components
Fulfillment & 3PL Coordination
Create restock requests with fulfillment partner
Generate shipping labels through fulfillment systems
Manage wallet / balance with fulfillment partner
Coordinate stock counts and reconciliations
Track fulfillment performance and resolve issues
Ensure fulfillment SLAs are met
Product Setup & Launch Support
Set up new products in Shopify (listing, variants, pricing)
Assign SKUs and register products correctly
Connect products to fulfillment partner
Coordinate first inbound shipments to 3PL
Support upsells, cross-sells, and new product launches
Logistics & Shipment Management
Coordinate inbound shipments from suppliers to 3PL
Create special shipments for private or partnership orders
Handle wholesale order fulfillment when required
Manage shipments for internal or marketing-related orders
Operational Support for New Channels
Support operational setup for new products and accessories
Assist with inventory and fulfillment setup for new sales channels
Maintain organized records for all operational workflows
Qualifications:
Required
Experience in ecommerce operations, inventory, or supply chain support
Strong skills in spreadsheets, tracking, and data organization
Experience working with suppliers or fulfillment partners
Comfortable handling detailed and repetitive operational tasks
Strong attention to detail and problem-solving ability
Good written English communication skills
Able to work independently and follow structured processes
Preferred
Experience with Shopify or ecommerce platforms
Experience working with 3PL or fulfillment partners
Experience with inventory forecasting or stock management
Experience communicating with overseas suppliers
Experience supporting product launches
Experience in DTC / ecommerce environment
