One of our clients is seeking a highly experienced and proactive High-Level Executive Assistant to serve as the operational and strategic extension of a fast-paced, founder-led business. This role is for someone who thrives in high-pressure environments, has experience working with coaching businesses and startups, and can act as the executives "alter ego"thinking ahead, making smart decisions independently, and executing tasks without the need for hand-holding or training. This individual must be agile, exceptionally organized, and capable of managing both executive support and marketing-related responsibilities.

Key Responsibilities
Executive Operations & Calendar Management
Manage and optimize the executives calendar and schedule, handling appointments, meetings, and deadlines with precision and foresight.
Prioritize tasks and handle high-level requests with minimal direction, ensuring the executive is always prepared and aligned with business goals.
Serve as a strategic filter and liaison, managing inbound communication and acting on behalf of the executive when necessary.
Coordinate travel, event logistics, and important briefings with a high degree of autonomy.
Strategic Execution & Business Support
Lead the execution of key initiatives and special projects aligned with the companys growth strategy.
Identify process inefficiencies and implement systems that improve team productivity and workflow.
Maintain clear and timely communication between departments, helping to streamline operations.
Marketing & Outreach Support
Assist in managing and executing marketing initiatives such as email campaigns, lead outreach, and funnel optimization.
Support the implementation and monitoring of Google Ads and other paid advertising campaigns.
Help develop and maintain marketing assets such as sales decks, newsletters, and campaign reports.
Collaborate with the marketing team or freelancers on lead generation and engagement strategies, particularly for digital or coaching offers.
Communications & Admin Excellence
Draft and manage high-level email communication, internal updates, and external outreach.
Keep track of project timelines, follow up on deliverables, and ensure smooth execution of tasks across departments.
Organize digital files, SOPs, and operational documentation in cloud-based systems (e.g., Google Workspace, Notion).
Manage vendor relationships, invoicing, and basic finance-related coordination as needed.
Ad Hoc Executive Support
Anticipate needs, solve problems independently, and jump into any area of the business that needs support.
Serve as a partner to the executive in brainstorming, planning, and executing new ideas or business directions.
Requirements & Qualifications
Bachelors degree in Business Administration, Marketing, Communications, or a related field.
Minimum of 4 - 5 years supporting C-suite executives, founders, or entrepreneurs.
Experience supporting or managing operations in a coaching business or startup environment.
Strong background in digital marketing, particularly in email campaigns, lead outreach, and Google Ads.
Excellent written and verbal communication skills with an executive presence.
Mastery of tools like Google Workspace, Microsoft Office, ClickUp, Notion, and marketing platforms (e.g., Mailchimp, HubSpot, Google Ads).
Highly self-motivated, with a bias for action, attention to detail, and the ability to manage multiple moving parts.
Ability to work under pressure, solve problems creatively, and operate with confidentiality and discretion.
Strong project management skills and the ability to work independently without needing constant supervision.
Amenable to work between Monday to Friday, 8 AM to 5 PM Eastern Time (EDT/EST)
Preferred Qualifications
Familiarity with CRM systems and automations (e.g., Zapier, ActiveCampaign).
Proven ability to manage marketing vendors, freelancers, or agencies.
Passion for personal development, coaching, or performance-driven environments.
