We are seeking a highly motivated and organized HR Administrative Support professional with fluency in Spanish to join our growing team. This role provides comprehensive assistance to the HR department, ensuring smooth operations across recruitment, onboarding, personnel administration, occupational health and safety, supplier management, payroll, and reporting.
Key Responsibilities
General HR Administration
- Provide administrative support to the HR department, including maintaining employee records, scheduling interviews/meetings, and preparing HR documents.
- Assist with recruitment and onboarding processes: posting job openings, conducting initial screenings, coordinating new hire orientations, and uploading onboarding documentation (e.g., 145 form, conflict of interest, key handover).
- Communicate with Spanish-speaking employees to assist with HR-related inquiries or concerns.
- Maintain accurate and up-to-date employee information in the HR database and HRIS systems.
- Assist with payroll processing to ensure timely and accurate payments.
- Support HR projects and initiatives as needed.
Occupational Health and Safety
- Request PPE for new employees or replacements.
- Upload and maintain emergency plans, job risk documents, and PPE templates.
- Coordinate medical check-ups and training courses.
- Track completion of training programs.
Supplier Administration
- Prepare purchase orders (POs) and upload them to SAP.
- Maintain filing systems for supplier-related documentation.
Personnel Administration
- Request employee IDs and manage personnel records for new hires or data changes.
- File and maintain HR documentation to ensure compliance with company policies.
- Support employee relations matters, including investigations and documentation.
Reporting
- Prepare reports on additional hours, manpower, and end-of-month metrics (HC, FTEs, hours per store).
- Generate other HR-related reports as required.
Qualifications
- Bachelors degree in Human Resources or related field.
- Minimum of 2 years of experience in HR administration or related role.
- Fluency in Spanish (required); fluency in English (mandatory).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Knowledge of HR processes, procedures, and compliance requirements.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in Microsoft Office (especially Excel) and HRIS systems; SAP experience is a plus.
- Ability to work independently and collaboratively within a team.
