Role Summary:
An RFP Officer manages the end-to-end tendering and proposal process for mining-related goods and services, ensuring cost-effective, compliant, and technically suitable supplier selection.
Key Responsibilities:
1. Tender & RFP Management
- Prepare, issue, and manage RFP/RFQ/RFI documents
- Define scope of work in collaboration with engineering and operations teams
- Ensure clarity of technical and commercial requirements
2. Supplier Sourcing & Evaluation
- Identify and pre-qualify vendors (equipment, EPC contractors, service providers)
- Evaluate proposals based on technical specs, pricing, delivery, and compliance
- Conduct bid analysis and comparison reports
3. Commercial & Contract Support
- Support negotiations on pricing, terms, and delivery schedules
- Assist in drafting and reviewing contracts
- Ensure alignment with company procurement policies
4. Stakeholder Coordination

- Engineering teams (technical specs)
- Operations (site requirements)
- Finance (budget control)
- Act as a bridge between internal teams and external vendors
5. Compliance & Documentation
- Ensure tender process complies with internal policies and industry standards
- Maintain accurate records of bids, evaluations, and decisions
- Support audits and reporting
Required Hard Skills:
- Tendering & procurement processes
- Contract management basics
- Cost analysis & commercial evaluation
- Understanding of mining equipment (e.g., heavy machinery, OTR tires, EPC services)
- ERP systems (SAP, Oracle, etc.)
- Advanced Excel (bid comparison, cost modeling)
