Role Summary:

An RFP Officer manages the end-to-end tendering and proposal process for mining-related goods and services, ensuring cost-effective, compliant, and technically suitable supplier selection.

Key Responsibilities:

1. Tender & RFP Management

  • Prepare, issue, and manage RFP/RFQ/RFI documents
  • Define scope of work in collaboration with engineering and operations teams
  • Ensure clarity of technical and commercial requirements

2. Supplier Sourcing & Evaluation

  • Identify and pre-qualify vendors (equipment, EPC contractors, service providers)
  • Evaluate proposals based on technical specs, pricing, delivery, and compliance
  • Conduct bid analysis and comparison reports

3. Commercial & Contract Support

  • Support negotiations on pricing, terms, and delivery schedules
  • Assist in drafting and reviewing contracts
  • Ensure alignment with company procurement policies

4. Stakeholder Coordination

  • Work closely with:
    • Engineering teams (technical specs)
    • Operations (site requirements)
    • Finance (budget control)
  • Act as a bridge between internal teams and external vendors

5. Compliance & Documentation

  • Ensure tender process complies with internal policies and industry standards
  • Maintain accurate records of bids, evaluations, and decisions
  • Support audits and reporting

Required Hard Skills:

  • Tendering & procurement processes
  • Contract management basics
  • Cost analysis & commercial evaluation
  • Understanding of mining equipment (e.g., heavy machinery, OTR tires, EPC services)
  • ERP systems (SAP, Oracle, etc.)
  • Advanced Excel (bid comparison, cost modeling)
