About the job Project Assistant

Key Responsibilities:

  • Draft, organize, archive, distribute, and safeguard project-related documents (plans, contracts, reports, minutes, correspondence, etc.).
  • Maintain the project document management system (both electronic and paper versions) to ensure accuracy and easy access.
  • Arrange internal and client meetings, including reservations and notifications.
  • Record discussions, prepare/distribute meeting minutes, and follow up on action items.
  • Handle daily administrative tasks for the project team (office supplies, travel, expense reimbursements).
  • Maintain project contact lists, calendars, and schedules.
  • Assist in planning and organizing team activities.
  • Support the Project Manager with ad hoc tasks as needed.

Requirements:

  • Minimum 3 years experience in administration, secretarial support, or project assistance.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Working language: Chinese or Mongolian (both acceptable).
