Role Purpose:
The Specialist, Business Travel is responsible for managing and coordinating all aspects of domestic and international business travel for company personnel and third-party contractors. This role ensures that all travel arrangements are cost-effective, policy-compliant, and prioritize employee safety and comfort, while supporting overall operational continuity and efficiency within the Business Services Department.
Responsibilities include but are not limited to the following:
- Coordinate and manage end-to-end business travel arrangements, including air, sea, and land transportation, as well as accommodation, in accordance with company travel policies and guidelines.
- Liaise with travel agencies, airlines, hotels, and transportation vendors to secure optimal travel options that meet company standards on cost, safety, and reliability.
- Ensure compliance with travel-related rules and procedures, including visa, immigration, and health requirements for both domestic and international travel.
- Monitor, analyze, and report travel costs, utilization trends, and cost-saving opportunities to support effective travel management and budget control.
- Provide guidance and assistance to employees on travel policies, booking procedures, documentation, and issue resolution.
- Handle travel-related emergencies or schedule changes, ensuring prompt resolution and minimal disruption to business operations.
- Maintain accurate and up-to-date travel records, itineraries, and expense documentation for audit and reporting purposes.
- Promote and uphold the Companys Health, Safety, Security, and Environment (HSSE) standards in all travel-related activities.
- Continuously evaluate and improve travel management processes, systems, and vendor performance to enhance efficiency and employee experience.
Qualifications include but are not limited to the following:
Education:
- Minimum Diploma or equivalent qualification in Travel and Tourism, Business Administration, or related field.
Experience:
- Minimum 10 years of experience in corporate travel management, including travel coordination, reservations, and travel advisory.
- Proven understanding of international travel documentation, visa requirements, and related procedures.
- Experience in vendor management and negotiation with travel service providers.
Familiarity with travel booking systems (e.g., Amadeus, Sabre, Galileo, or similar) and expense management tools. - Previous experience in the oil & gas, energy, or multinational corporate environment is an advantage.
Technical & Management Skills:
- Proficiency in Microsoft Office applications (Excel, PowerPoint, Outlook).
- Knowledge of travel regulations, visa requirements, and corporate travel policies.
- Experience in cost tracking, reporting, and travel data analysis.
- Familiarity with HSSE and risk management practices related to corporate travel.
- Excellent communication and interpersonal skills for effective coordination across departments and with vendors.
- Strong organizational and time management abilities, capable of managing multiple travel requests under tight deadlines.
- High level of attention to detail, accuracy, and accountability.
