- My-Recruiters is a digital Recruitment Solutions Company, offering a range of Recruitment & Selection, Recruitment Process Outsourcing (RPO) and Careers Digital Marketing services.
- We currently recruit and advertise careers opportunities in the Dental, Medical, Retail, Construction, Insurance and Healthcare sectors.

- Our Team works remotely from various locations in South Africa, with our Head Office in Heidelberg, Gauteng. We also consult from Henfield, in West Sussex, on RPO Contracts.

2. About our Privacy Policy
- This notice applies to all entities of My-Recruiters and any of its holding or subsidiary companies.
- My-Recruiters is committed to protecting your privacy, and we will only use the information provided to us, to administer your account, in order to provide you with the services you requested from us.
- My-Recruiters seeks to employ the best practices when it comes to the collection and processing of personal information in accordance with data protection and privacy legislation. We work to ensure that our use of Personal Information is lawful, reasonable, and relevant to our business activities, with the ultimate goal of improving our offerings and your experience.
- Where we refer in this policy to your ‘personal data’, we mean any recorded information that is about you and from which you can be identified. It does not include data where your identity has been removed (anonymous data).
- Where we refer to the ‘processing’ of your personal data, we mean anything that we do with that information, including collection, use, storage, disclosure, or retention.
- Access to your personal data within My-Recruiters will only be provided to staff who need to view it as part of their work in connection with the operation of this website, our database, and our services.
- Your data will be shared with the third parties described in the section below headed 'Sharing of your Personal Information'.

3. How we collect your Personal Information
- Through direct or active interactions with you;
We may require you to submit certain information in order for you to access certain parts of the Website or Career Pages, in order for us to provide certain services to you (for example, providing further requested information, applying for a vacancy, etc.) or to conclude an agreement with us or one of our clients and/or to fulfil our statutory obligations. We also collect information directly from you when you communicate directly with us, for example via e-mail, telephone calls, feedback forms, site comments and forums. If you contact us, we may keep a record of that correspondence. The information we may actively collect from you may include any of the information listed in section 5 of this Privacy Policy.

We passively collect some of your personal information from devices that you use to access and navigate through the Website, Careers pages, using various technological means.
The information which we passively collect from your Access Device may include comments, your Identity Data, Contact Data, Technical Data, Usage Data, Marketing and Communications Data, and any other information which you permit us, from time to time, to passively collect from your Access Device.

My-Recruiters may receive personal information about you from various third parties and public sources and will treat that information with due care.
4. When we collect your data
We will collect the vast majority of data about you when you complete a webform, request to receive email notifications, correspond with us by phone, e-mail or otherwise, or contact us to report a problem with our sites.
When you visit our sites, we may also automatically collect technical information about your visit from your computer.
5. The types of data we collect and process
My-Recruiters may collect, receive, record, organise, collate, store, update, change, retrieve, read, process, analyse, use, and share the following types of personal data:
- Aggregated data could be derived from your personal information and may include historical, statistical, or contact data. It is not considered personal information as this data will not directly or indirectly reveal your identity. However, if we combine or connect Aggregated Data with your personal information so that it can directly or indirectly identify you, we will treat the combined data as personal information which will be used in accordance with this Privacy Policy, obtaining your consent to retain your data.
- Age restricted, we do not provide services directly to children, and our site is not available for use by any person under the age of 18 years without consent and supervision from a competent person such as parent or a legal guardian.
- Comments, when visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help automatic spam detection.
- Contact data, which includes addresses, email addresses and telephone numbers.
- Demographical and statistical data about user behaviour may be collected and used to analyse the popularity and effectiveness of My-Recruiters web and career sites. Any disclosure of this information will be in aggregated and anonymised form and will not identify individual users.
- Identity data, which includes information concerning your name, username or similar identifier, marital status, title, date of birth, gender, race, and legal status, as well as copies of your identity documents, photographs, identity number, registration number and qualifications.
- Marketing and Communications data, which includes your preferences in receiving marketing from us and our third parties and your communication preferences.
- Service data, which includes information concerning your interactions with My-Recruiters or any of its subsidiary companies.
- Special Personal Information, if any of the information you provide to us contain special personal information such as health, religion, ethnic or race information, your consent is a lawful requirement which we rely on to process such information unless any other lawful basis exist allowing us to process such information.
- Technical data, we will automatically collect certain technical information when you visit our website, for example, the type of device (and its unique device identifier) you use to access our site, the Internet protocol (IP) address used to connect your device to the Internet, your login information, browser type and version, time zone setting and location, browser plug-in types and versions, operating system, mobile network information and platform and other technology on the devices you use to access the Website.
- Transaction data, which includes details about payments to and from you.
- Usage data, which includes information about how you use our website, our careers pages, products and/or services.
6. How we use or “process” your data
Personal information provided to My-Recruiters will only be used for the purposes intended. We may use your personal information to:
- Provide our services to you;
- Operate our facilities;
- Comply with our statutory obligations, including submissions to the companies and intellectual property commission, as well as interacting with regulatory authorities;
- Conduct business case analysis;
- Conduct My-Recruiter's recruitment exercises, including referrals, and hiring processes, including the capturing of a job applicant's details and the provision of status updates to job applicants.
- Conduct criminal record and/or credit checks; for which we will request additional consent;
- Retain and make information available to you on the website and careers pages;
- Send you marketing or other types of communication by email that is relevant to you. We may, for example, send you weekly vacancy e-newsletter, notifications of new blog posts and information about forthcoming events;
- Maintain and update our client, or potential client databases;
- Establish and verify your identity on the website and careers pages;
- Diagnose and deal with technical issues, customer support queries and other user queries;
- Operate, administer, maintain, secure, and develop the website and careers pages – and to improve the functionality and performance of these sites;
- Protect our rights in any litigation;
- Detect, prevent, or deal with actual or alleged fraud, security or the abuse, misuse or unauthorised use of the website, career pages and/or contravention of this privacy notice or any of the terms and conditions that apply to the use of the website;
- Communicate with you and keep a record of our communications with you and your communications with us;
- Inform you about any changes to the website, the privacy policy or other changes which are relevant;
- Create user profiles and analyse and compare how you and other users make use of the website, including (without limitation) habits, click-patterns, preferences, frequency and times of use, trends, and demographics;

- And for any other purposes relevant to our business activities, provided they are lawful.
- We will only use your data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another related reason and that reason is compatible with the original purpose. If we need to use your data for an unrelated purpose, we will seek your consent to use it for that new purpose.
- Access to your personal data within My-Recruiters will only be provided to staff who need to view it as part of their work in connection with the operation of this website, our database, and our services.
- Please note that we may process your data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
7. Direct Marketing Communications
- Through your engagement with us, you may be requested whether you agree to receive marketing communications from us.
- We do this only where you have specifically indicated that you consent to receive such communications, for example, by subscribing via a webform.
- You may provide or deny consent; or you may request us to discontinue, or pre-emptively block any approach or communications from us if that approach or communication is primarily for the purpose of direct marketing communications.
- You may opt out of receiving direct marketing communications from us at any time. Our contact details are on our website, and you can find our contact details at the bottom of this privacy policy.
- If you have opted out, we will stop any processing as soon as we can. However, this will not affect the lawfulness of any processing carried out before your withdrawal of consent and you may no longer be able to use the site in the same way you did before.
- Please note that you may continue to receive communications from us that are not marketing related.
8. Where we store or use your data
- We communicate with you using a cloud-based service provider that operates outside the European Economic Area (EEA).
- Personal information that you provide to us will be stored electronically on the servers of our service providers, as well as in hard copy format (when required), with reasonable organisation and technical safeguards in place to protect this personal information.
- We may store data collected by the website manually or electronically. The data is stored on our service providers’ secure cloud-based servers in Singapore and on our servers in South Africa and in the United Kingdom.
- We store personal information for users that register on our website and career site, in their user profile.
- Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data transmitted to the website and any transmission is at your own risk.
9. How long we retain your data
- We may keep and process some or all of your personal information if and for as long as:
- We are required or permitted by law or a contract with you to keep it;
- We reasonably need it for lawful purposes related to our functions and activities;
- We reasonably need it for evidentiary purposes.
- To determine the appropriate retention period for personal information, My-Recruiters will consider, among other things, the quantity, nature and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means. My-Recruiters will always comply with applicable legal, regulatory, tax, accounting, or other requirements as they pertain to the retention of personal information.
- If you subscribe to our recruitment, news, careers announcements and alerts, we will hold your details on our database until such time as you choose to unsubscribe from our service. You may do this at any stage by selecting the appropriate options or by contacting us.
- If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
10. Sharing of your Personal Information
- We will not intentionally disclose, for commercial gain or otherwise, your Personal Information other than as set out in this Privacy Notice or without your permission.
My-Recruiters may share your Personal Information under the following circumstances:
- If you request a password reset, your IP address will be included in the reset email
- To our clients, consultants, service providers and suppliers which have agreed to be bound by this Privacy Policy or on terms which offer the same level of protection as this Privacy Policy;
- To our clients, employees, suppliers, service providers and consultants if and to the extent that they need to know the information in order to provide the services to us, for which they have been appointed; such as hosting, development and administration, technical support and other support services relating to the Website or the operation of the My-Recruiters business or any of our subsidiary companies.
- We will authorise any information processing done by a third party on our behalf, amongst other things by entering into written agreements with those third parties governing our relationship with them and containing confidentiality and non-disclosure provisions;
- In order to enforce/apply any other contract between you and us;
- In order to protect our rights, property, or safety or that of our customers, employees and prospective employees, contractors, candidates and prospective candidates, suppliers, service providers, consultants and any other third party;
- In order to mitigate any actual or reasonably perceived risk to us, our customers, employees and prospective employees, contractors, candidates and prospective candidates, consultants or any other third party; and
- To governmental agencies, exchanges and other regulatory or self-regulatory bodies if required to do so by law or if we reasonably believe that such action is necessary to comply with the law or any legal process;
- To protect and defend the rights, property or safety of My-Recruiters, our subsidiary companies, or our customers, employees and prospective employees, contractors, candidates and prospective candidates, suppliers, service providers, consultants or any third party;
- To detect, prevent or deal with actual or alleged fraud, security or technical issues or the abuse, misuse, or unauthorized use of the Website and/or contravention of this Privacy Notice; and to
- Protect the rights, property, or safety of members of the public. If you provide false or deceptive information about yourself or misrepresent yourself as being someone else, we may proactively disclose such information to the appropriate regulatory bodies and/or commercial entities.
Cross-border transfer
- Information that we collect from you may be collected in, or transferred to, a destination outside of South Africa. Such destination may not have comparable data protection legislation, and such collected information may also be processed by staff operating outside South Africa who work for us or by one of our contractors. However, we will ensure that there is either binding corporate rules or a binding agreement in place to ensure your information is processed in line with South African privacy legislation and this Privacy Policy and the GDPR laws where possible.
Such transfers will only take place if one of the following applies:
- the country receiving the data is considered by the EU to provide an adequate level of data protection;
- the organisation receiving the data is covered by an arrangement recognised by the EU as providing an adequate standard of data protection e.g., transfers to companies that are certified under the EU US Privacy Shield;
- the transfer is governed by approved contractual clauses;
- the transfer has your consent;
- the transfer is necessary for the performance of a contract with you or to take steps requested by you prior to entering into that contract; or
- the transfer is necessary for the performance of a contract with another person, which is in your interests.
11. What rights you have over your data
- If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data that we hold about you.
- You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

- In this event, we will stop the processing as soon as we can. However, this will not affect the lawfulness of any processing carried out before your withdrawal of consent and you may no longer be able to use the site in the same way as you did before.
Your rights - Under certain circumstances, by Data Protection law, you have the right to:
- Request access to your data. This enables you to receive a copy of the personal information that we hold about you.

My-Recruiters is not responsible for information captured and processed on any website linked to our website.
- Articles on this site may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
- These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
13. How we use “Cookies”
- A “cookie” is a small file of letters and numbers that we place on your computer or mobile device. These “cookies” allows us to distinguish you from other users and assists us to provide you with an enjoyable experience when browsing our website and career pages. It also allows us to improve our website.
- If you leave a comment on our sites, you may opt-in to saving your name, email address, phone number and other information. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

- We make every effort to keep the personal information we hold updated, complete and accurate.

- We work to ensure the security of personal information we hold by taking reasonable measures to prevent destruction, unlawful access, and loss of personal information. Any compromise of data integrity or confidentiality will be reported to you by electronic written notice.
- Please contact us by email at the aforesaid email address if you require access to any of your personal information we have on our database; or if you wish to notify us of any change, modification, or correction; or if you would like to have your personal information removed from our records.
- We will require suitable proof of identity from you before we can action any of the above requests.
15. Governing Laws
- To the maximum extent possible, South African law applies to this Privacy Policy. If any provision of this Privacy Policy is found to be illegal, void, or unenforceable due to applicable law or by order of a court of a competent jurisdiction it shall be deemed deleted and the continuation in full force and effect of the remainder of the provisions will not be prejudiced.
- Our Privacy Policy and practices also seek to store/process your data in accordance with the GDPR laws where possible.
- GDPR, short for General Data Protection Regulation, is a series of regulations established by the European Parliament and Council of the European Union in April 2016. Officially initiated on the 25th of May 2018, GDPR replaced the earlier Data Protection Directive as the leading law on data protection within the European Economic Area (EEA) and European Union (EU).
- Primarily and most importantly, GDPR empowers individuals with the right to control their personal data and how it is used.
16. Consumer Protection Act and Protection of Personal Information Act
If any party of this Privacy Policy is regulated by or subject to the Consumer Protection Act or the Protection of Personal Information Act, No. 4 of 2013 ("POPIA"), it is not intended that any part of this Privacy Notice contravenes any provision of the Consumer Protection Act or POPIA.
