What we're looking for:

  • Minimum 5–8 years' experience as an Executive PA / Executive Assistant supporting senior management, C-suite, or a board
  • Relevant diploma or tertiary qualification in Office/Business Administration strongly preferred
  • Above-average verbal and written communication skills — confident, articulate, and comfortable representing the executive office at any level
  • High-end attention to detail; nothing leaves your desk without being right
  • Proven ability to manage multiple competing priorities and multitask under pressure without losing composure or accuracy
  • Strong working knowledge of MS Office (Word, Excel, Outlook, PowerPoint); minute-taking experience essential
  • Highly organised, proactive, and able to anticipate needs before being asked
  • Unquestionable discretion and trustworthiness when handling sensitive or confidential information
  • Polished, professional presentation and gravitas when engaging with executives, clients, and stakeholders
  • A valid driver's licence and own reliable transport
  • Experience supporting leadership within professional services, financial services, or a consulting environment
  • A calm, unflappable nature — you're at your best when things are moving fast
  • A stable track record with previous employers rather than frequent job changes
  • Project management or Executive Assistant certification (e.g. PMP, PRINCE2, or similar) advantageous

Duties and responsibilities:

  • Owning complex diary and calendar management for senior executives, proactively resolving clashes and protecting their time
  • Coordinating board and leadership meetings — agendas, packs, minute-taking, and follow-through on action items
  • Arranging detailed local and international travel and logistics
  • Managing correspondence and acting as a filter and gatekeeper for the executive office
  • Handling confidential business, financial, and personal matters with absolute discretion and sound judgement
  • Preparing, formatting, and quality-checking documents, reports, and presentations to a polished, client-ready standard
  • Liaising confidently and professionally with clients, service providers, and stakeholders at all levels, including board members
  • Driving multiple administrative and project workstreams simultaneously, tracking deadlines and flagging risks before they become problems
  • Supporting basic office and budget administration where required
  • Acting as a trusted sounding board and problem-solver for the executive team

This is a  professional, client-facing environment, and the role carries real trust and autonomy — you'll be relied on to run the executive office with minimal oversight, not just keep a diary.
