PROPERTY MANAGER
About the job PROPERTY MANAGER
The Property Manager under the direction of the General Manager, Property Division will manage the daily operations of all assigned properties with a goal to maximize the asset value, provide customer satisfaction and maximize the obtainable revenue.
Essential Functions (Duties include but not limited to):
- Leasing
- Ensure that all applicants are screened according to the approved process and qualify for the housing they have applied for before entering into a rental agreement
- Complete the applicant screening process within 2 business days
- Negotiate lease contracts including move in bonuses and rental rebates with input from the General Manager, Property Division in a timely manner while maximizing revenues
- Ensure all tenants comply with the lease and enforce the conditions when tenants do not comply
- Ensure that lease renewals are created and sent within legislative guidelines and are completely accurate
- Ensure that signed lease renewals are signed and returned according to legislative guidelines
- Ensure that rental units are turned over in a timely manner to ensure that any vacancy loss is kept to a minimum
- Complete market evaluations a minimum of 2 times per calendar year to ensure current and future rents are comparable to others in the neighborhood
- Ensure there is proper signage on the building when units are available
- Ensure that all marketing is accurate, and units are being advertised when required
- Coordinate and attend open houses when required Tenant Relations
- Maintain a positive, productive relationship with all tenants
- Returning all emails and phone calls; responding to non-emergency tenant concerns within 1 business day
- Issue letters to tenants for lease and legislative violations
- Document the electronic tenant file with a timeline of correspondence (verbal and paper) between the Landlord and Tenant
- Ensure that annual suite inspections are completed according to schedule
- Accounts Receivable
- Ensure that rent is paid on time and late fees are charged when applicable
- Follow the arrears policy and complete the eviction process when necessary
- Ensure that the tenant ledger is accurate and make necessary adjustments accurately
- Ensure that when the Landlord and Tenant enter a mediated payment arrangement that the tenant fulfills their obligation
- Fill out necessary paperwork and attend hearings at the Residential Tenancies Branch as required
- Ensure past tenant collection process is adhered to
Maintenance and Repairs:
- Keep all buildings within the assigned portfolio in good repair
- Address safety concerns in a timely manner
- Ensure that regular maintenance is scheduled as required
- Ensure that snow clearing and lawncare is assigned in advance of the upcoming season and that the contractor provides quality for the negotiated price
- Ensure that laundry equipment is in working order and repaired in a timely manner
- Ensure that onsite staff keep the buildings at or above the cleanliness standard of Management and follow up within 2 business days when it falls below this standard
- Ensure all rental units turned over to new tenants meet the standards of Thorwin Properties in cleanliness and repair
- Review contractor invoices for accuracy to work requested
- Review utility bills for accuracy in dates and follow up on building issues that can cause increased utility costs
- Procure quotes for work valued over $2,000.00 or as directed
- Recruit, Supervise and Manage Resident Managers
- Work in collaboration with Human Resources and the General Manager, Property Division to advertise, interview and hire
- Resident Managers where needed
- Ensure that those chosen for employment are equipped to fulfill the role and are equipped to live the Vision, Mission, and Values
- Ensure that each Resident Manager maintains their assigned property to the standard of Management in both cleanliness and repair
- Ensure that Resident Managers are reporting required repairs/deficiencies to the Property Manager in a timely manner
- Provide input to the General Manager, Property Division and/or Resident Manager Supervisor so that performance management reviews can be completed as required for all Resident Managers
- Monitor employee performance issues and implement disciplinary action as required in collaboration with the Resident Manager
- Supervisor and/or General Manager, Property Division Accountability
- Report weekly regarding issues related to their assigned buildings to the General Manager, Property Division
- Attend, be prepared for and participate in all weekly meetings
- Accurately complete all necessary documentation (electronic and paper based) associated with the position in a timely manner
- Be on site at each managed property at least two times per month to ensure that the cleanliness of the building meets Thorwin Properties standards.
- Ensure that supervised staff members follow all Thorwin Properties policies and procedures
- Uphold the Mission, Vision, and Value statement of Thorwin Properties
Qualifications:
- Post-secondary education in a related field or equivalent experience
- 5-10 years property management experience
Knowledge, skills, and abilities:
- Must have the ability to follow oral and written instructions and be able to maintain effective and cooperative working relationships.
- Must be organized and pay attention to detail
- Ability to work independently and manage time effectively
- Valid Drivers License and vehicle required
- Be available on occasion to meet with staff/tenants outside of office hours
- Be part of the on-call rotation for evening and weekend emergencies
