Our client is a semi-government company based in Abu Dhabi. It is one of the region's largest holding companies, with investments locally and internationally, particularly in Energy and Utilities, Food and Agriculture, Healthcare and Pharma, and Mobility and Logistics.

We are seeking an organized and detail-oriented Administrative Coordinator for the Abu Dhabi location.

Contract Duration-6 months
Visa-Own Visa(Golden,Spouse, Freelance)
Experience-6+ years

Job Responsibilities:

  • Calendar Management: Maintain and manage the executive's calendar, schedule appointments, and coordinate meetings.
  • Communication: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence. Ensure timely responses and follow-ups.
  • Meeting Coordination: Prepare agendas, organize meeting materials, and take minutes during meetings. Coordinate logistics for internal and external meetings.
  • Travel Arrangements: Plan and book travel arrangements, including flights, accommodations, and transportation. Prepare travel itineraries and ensure all travel-related documents are in order.
  • Administrative Support: Perform various administrative tasks such as filing, data entry, and document management.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  • Manage travel logistics and itineraries (flights, hotels, transportation, and other support as needed)
  • Record minutes of meetings
  • Maintain proper physical and digital filing of correspondence and documents
  • Procurement and invoicing, submitting the PR/POs in the system
  • Other tasks as required
  • Should have great experience in Excel, Word, Outlook, and it would be great if they are familiar with Oracle
