The department provides project management expertise and methodology support for initiatives related to communication and collaboration systems, information platforms, international digital services, and the digitalization and automation of administrative processes.

This specific project focuses on developing a secure extranet platform designed to enable communication and information exchange among various internal and external user groups. The platform aims to enhance external visibility and employee engagement, improve communication and collaboration, and allow secure access from private devices.

Key Responsibilities

  • Support the project office by assisting project and sub-project leads in planning, controlling, and documentation activities.
  • Develop and maintain project schedules, milestones, and dependencies using MS Project.
  • Provide administrative project support, including scheduling, meeting coordination, document management, and quality assurance of project deliverables.
  • Track and document deliverables, dependencies, milestones, and contributions to requirements management.
  • Manage project documentation and data using MS SharePoint and Atlassian Jira.
  • Prepare project reports and progress summaries.
  • Support financial and performance reporting processes, including:
    • Project controlling and procurement tracking
    • Coordination with financial and procurement teams
    • Validation and documentation of service delivery
    • Preparing billing documentation and performance evidence
    • Conducting quality assurance for accounting and billing materials
    • Coordinating approvals and resolving discrepancies with client representatives
  • Contribute to special topics and ad-hoc initiatives under project leadership direction.

Qualifications and Skills

Education & Certifications:

  • University degree in Business Administration, Business Informatics, or a comparable IT-related field.
  • Certification in Project Management (e.g. IPMA Level D, PRINCE2, PMP, PMI CAPM, Scrum PSM/PSPO, or equivalent).

Technical Skills:

  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and MS Project.
  • Experience with SharePoint and Atlassian Jira.
  • Solid understanding of both classical and agile project management methods.

Languages:

  • German: C1 (CEFR)
  • English: Professional working proficiency

Professional Experience

  • Minimum 4 years of experience in Project Management Office (PMO) roles within IT projects of medium to high complexity.
  • Minimum 2 years of experience in project controlling and client-side project billing.
  • Proven experience applying common project management methodologies.
