About the Role
NextGen Invent is seeking a highly organized, proactive, and digitally fluent Executive Assistant to partner closely with the Chief Digital Officer (CDO).
This is a high-trust, high-visibility role requiring exceptional judgment, discretion, and execution excellence. You will act as a strategic enabler — driving executive effectiveness, streamlining communication, and supporting key digital and cross-functional initiatives across global teams.
The ideal candidate combines strong business acumen with advanced proficiency in AI-powered productivity tools.
Key Responsibilities
Executive Partnership & Calendar Leadership
- Serve as the primary liaison between the CDO and internal/external stakeholders.
- Manage complex calendars across multiple time zones with strong prioritization judgment.
- Coordinate and facilitate meetings across digital platforms (Teams, Outlook, Zoom).
- Anticipate needs, triage requests, and ensure the CDOs time is aligned to strategic priorities.
- Manage high-level communication including emails, memos, and executive correspondence.
Strategic & Operational Support
- Prepare decision-ready briefs, research summaries, and executive notes.
- Capture key insights from meetings and drive follow-ups on action items.
- Coordinate cross-functional workflows across Product, Engineering, AI, Data, and Operations.
- Leverage AI tools to enhance efficiency — summarizing reports, generating drafts, formatting documents, and automating routine workflows.
Executive Communication & Content
- Create high-impact presentations, dashboards, reports, and executive-level documents.
- Support leadership reviews, strategic updates, and client-facing materials.
- Maintain structured digital documentation and confidential records.
Digital Presence & Stakeholder Management
- Manage the executives professional digital presence (primarily LinkedIn).
- Draft and schedule content, track engagement, and maintain stakeholder databases/CRM.
- Ensure seamless management of inbound communication across executive channels.
Skills & Experience
- Bachelors degree required (Business, Communications, Management, Technology, or related field preferred).
- 10+ years experience supporting senior leadership in digital, technology, AI, or product-led environments, with exposure to global stakeholders.
- Proven ability to create executive-level presentations, strategic documents, and decision-ready materials.
- Advanced proficiency in MS Office (PowerPoint, Excel, Word, OneNote).
- Hands-on experience leveraging AI tools (Microsoft Copilot, ChatGPT, Gemini, Notion AI, or similar) to enhance productivity and content quality.
- Strong command of collaboration platforms (Teams, Zoom).
- Exceptional written and verbal communication skills.
- Strong prioritization, time management, and independent decision-making in fast-paced environments.
- High emotional intelligence, executive maturity, and absolute discretion.
- Strong ownership mindset with meticulous attention to detail.
