Job Summary:
We are seeking a resourceful and organized Procurement Administrative Staff to support purchasing and supply chain activities for a growing group of concept stores in the food and hospitality sector. This role plays a vital part in ensuring that all restaurant and bar outlets are stocked with the necessary ingredients, supplies, and operating materials by managing supplier relationships, monitoring inventory needs, and physically procuring items when required.
The ideal candidate is proactive, detail-oriented, and capable of balancing administrative tasks with fieldwork to support the operational efficiency of multiple store locations.
Key Responsibilities:
- Source, evaluate, and expand the network of qualified suppliers and vendors for food, beverage, and non-food items.
- Coordinate with restaurant and bar managers to identify stock needs and ensure timely replenishment.
- Prepare and process purchase orders, request quotations, and maintain accurate procurement records.
- Monitor deliveries and inventory levels to avoid shortages or overstocking across all outlets.
- Ensure that all purchased items meet quality standards and price competitiveness.
- Conduct physical purchases or site visits as needed for urgent procurement requirements.
- Assist in price negotiations, supplier evaluations, and maintaining up-to-date vendor information.
- Support inventory audits and help reconcile records with operations and accounting teams.
- Coordinate with warehouse or store-level staff for the proper handling and storage of goods.
- Perform other administrative or procurement-related tasks as required.
Qualifications:
- Bachelors degree in Business Administration, Supply Chain, Hospitality Management, or related field is preferred.
- At least 2 years of experience in procurement or purchasing, preferably in the food, beverage, or hospitality industry.
- Familiarity with restaurant/bar operations and their inventory requirements is a strong advantage.
- Good negotiation, communication, and organizational skills.
- Willingness to conduct fieldwork and physical purchases when necessary.
- Proficient in Microsoft Office and basic inventory systems.
- Trustworthy, proactive, and able to work independently or as part of a team.
- Must be detail-oriented and capable of handling multiple tasks under time constraints.
