The Administrative Assistant with a background in Accounting is a key support role responsible for efficiently managing administrative tasks, financial documentation, and providing assistance to the finance department. This position plays a crucial role in ensuring the smooth operation of administrative and financial functions within the security agency.

Key Responsibilities:

  • Financial Records: Maintain and organize financial records, including invoices, receipts, and financial reports. Ensure all financial documentation is accurate, up-to-date, and compliant with company policies.
  • Accounts Payable: Process and track accounts payable invoices, verifying their accuracy and completeness. Coordinate with vendors and suppliers for payment inquiries and discrepancies.
  • Expense Management: Assist in tracking and categorizing employee expenses, ensuring compliance with company policies. Reconcile expenses and prepare expense reports.
  • Bank Reconciliation: Perform regular bank reconciliations to ensure the accuracy of financial transactions. Identify and address any discrepancies or issues.
  • Payroll Support: Assist in processing employee payroll, including hours tracking, calculations, and distribution of paychecks or direct deposits.
  • Financial Reporting: Assist in generating financial reports and statements, including income statements, balance sheets, and cash flow statements. Provide necessary financial information to management and auditors as required.
  • Data Entry: Accurately enter financial and administrative data into the company's accounting software and database systems.
  • Filing and Documentation: Organize and maintain financial and administrative documents in both physical and digital formats for easy retrieval and compliance purposes.
  • Administrative Support: Provide general administrative support to the office, including answering phone calls, managing emails, scheduling appointments, and handling office supplies and equipment.
  • Compliance: Stay updated with relevant financial regulations and ensure the company's financial practices are in compliance with legal and regulatory requirements.

Qualifications:

  • A background in accounting, finance, or a related field is required.
  • Proficiency in accounting software and Microsoft Office applications, especially Excel.
  • Excellent attention to detail and strong organizational skills.
  • Knowledge of financial principles, including accounts payable, payroll, and financial reporting.
  • Ability to handle sensitive and confidential financial information with discretion.
  • Strong communication and interpersonal skills for vendor and internal communication.
  • Self-motivated, reliable, and capable of multitasking in a fast-paced environment.
  • Previous experience in administrative support is a plus.
  • Familiarity with security industry operations and practices is a bonus.
