 Job Description:


Job Summary

We are looking for a Facilities Supervisor / Assistant to oversee and coordinate general office facilities and administrative operations, ensuring a clean, safe, well-maintained, and functional workplace.

Key Responsibilities

  • Oversee and coordinate general site and office facilities operations to ensure smooth day-to-day business activities.
  • Handle office maintenance requirements and coordinate with relevant service providers to ensure timely completion of maintenance work.
  • Monitor office cleanliness standards and supervise cleaning staff to ensure schedules and required standards are maintained.
  • Procure, monitor, and maintain adequate stocks of cleaning supplies, office consumables, and other facility-related materials.
  • Manage office access and key control, including arranging replacement or duplicate keys when required.
  • Handle the receipt, distribution, and delivery of official documents and external correspondence.
  • Manage company vehicle registration, licensing, insurance, and related administrative requirements on an annual basis.
  • Coordinate with internal stakeholders and external vendors regarding facilities and administrative requirements.
  • Maintain appropriate records and documentation related to facilities, maintenance, vehicles, and office supplies.
  • Support general administrative and facilities-related tasks as required.

Requirements

  • Bachelor's degree or diploma in Commerce, Business Administration, Facilities Management, or a related field.
  • Fresh graduates are welcome to apply; 1–3 years of relevant experience is an advantage.
  • Good organizational and time-management skills.
  • Ability to coordinate multiple administrative and facilities-related tasks.
  • Good communication and interpersonal skills.
  • Basic knowledge of Microsoft Office applications.
  • Ability to work independently and follow up on tasks until completion.
  • Willingness to handle occasional business travel and site-related requirements.

Working Conditions

  • Full-time position
  • Hybrid work arrangement
  • Standard working hours: 9:00 AM – 5:00 PM
  • 8 working hours per day
  • Friday is the regular day off
