Operation Engineer Assistant
Job Description:
We are looking for an Operation Engineer Assistant to support operational administration, vendor compliance, onboarding, workforce access management, and data reporting activities. The role requires strong data handling skills, excellent coordination abilities, and the capability to manage multiple vendors and internal stakeholders while ensuring accurate documentation and compliance tracking.
Key Responsibilities
- Create and maintain dashboards using tools such as Excel, Smartsheet, SQL, and other reporting tools.
- Analyze operational and vendor-related data to support decision-making and compliance visibility.
- Manage vendor compliance and verification processes, including Avetta coordination.
- Collect, validate, and track vendor compliance documents.
- Liaise with vendors to resolve compliance gaps and maintain accurate compliance records.
- Coordinate the end-to-end vendor onboarding process.
- Capture and update vendor details across required systems.
- Communicate onboarding requirements and follow up to ensure timely completion.
- Manage Welcome Access requests for vendors and contractors.
- Coordinate access updates and support frequent crew changes throughout the project lifecycle.
- Maintain accurate access, workforce, vendor, and compliance records.
- Distribute VCO links for Site Safety Orientation.
- Track and consolidate safety orientation completion records.
- Align safety orientation records with Avetta compliance requirements.
- Escalate any issues that may impact project timelines, access readiness, or compliance status.
Required Qualifications
- Bachelor's degree in Engineering, Warehouse Logistics Management, or a related field.
- Minimum 3 years of relevant experience in operations, vendor coordination, logistics administration, or a similar role.
- Experience handling large-scale vendors and coordinating with internal stakeholders.
- Strong knowledge of Microsoft Office tools, especially Excel.
- Good knowledge of Smartsheet, dashboards, SQL, and data analytics.
- Familiarity with AI tools and data handling is preferred.
- Strong documentation, follow-up, and reporting skills.
- Good English communication skills, both verbal and written.
- Ability to work during US time-zone coverage hours.
