What we need
Reporting directly to our three Co-Founders, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Co-founders. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is impact-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Reports to: Company Owners
Location: Brantford, Ontario.
(Hybrid) As Executive Assistant to the founders, you will be required to work from the office on a regular basis.

What you'll do
Executive Management
Completes a broad variety of administrative tasks for the Co-Founders including: managing a calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for personal and business travel.
Plans, coordinates and ensures the Co-Founder's schedules are followed and respected. Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the Co-Founders time
Researches, prioritizes and follows up on incoming issues and concerns addressed to the Co-Founders, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between Co-Founders and Team Leads; demonstrating leadership to maintain credibility, trust and support with Leadership Teams.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the team and Co-Founders some of which may have organizational impact.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Ensure existing, as well as new projects and initiatives, are in line with companies core values
Human Resources, Company Culture, Team Leadership & Growth
Work in collaboration with our HR Manager
Promotes communication between colleagues for the benefit of information flow and to curb any problems that arise
Finance
Monitor and pay invoices, review accounting, bank processes, and money-handling procedures.
Approve budget requests and team expenses.
Control company costs and prepare financial performance reports.
Attend and participate in regular meetings with our accounting firm
Legal
Work with the legal team on legal matters such as trademarks, privacy policies, employee contracts etc.
Other responsibilities
Excellent interpersonal, presentation and public speaking skills, both practiced and impromptu
Create and maintain the company website
Oversee facilities management and collaborate with our Office Assistant
Event planning such as team retreats, celebrations and company-wide meetings
Creating and ordering company swag and gifts

Qualifications
Experience as an Executive Assistant, Personal Assistant, Office Manager or similar role
Working knowledge of Google Workspace, Zoom, Asana and Slack (or similar platforms)
Experience working in a startup or primarily remote work environments
