About the Role

We are hiring an Operations & Bookkeeping Manager to become the operational backbone of a

growing construction company.

This is not an entry level admin role. It is a high ownership position responsible for keeping

financials, systems, scheduling, and backend operations running smoothly.

You will oversee:

Financial operations

Job costing

Subcontractor coordination

System accuracy across JobTread and QuickBooks

Internal communication and workflow organization

Key Responsibilities

Bookkeeping & Financial Operations

Manage Accounts Payable and Accounts Receivable

Process invoices, reconciliations, and payments

Maintain accurate records in QuickBooks Online

Job Costing & Construction Financials

Track budgets versus actual costs

Maintain cost codes and job budgets

Keep project financials accurate and current

Invoicing & Cash Flow

Manage progress billing

Issue deposit and change order invoices

Follow up on overdue payments

Maintain weekly invoicing consistency

Operations & Coordination

Schedule subcontractors weekly

Manage COIs and compliance documents

Coordinate purchasing, vendors, and materials

Create and manage purchase orders

Oversee billing and company inbox management

Support internal communication and workflow tracking

Systems & Pipeline Management

Maintain organization and accuracy across JobTread and related systems

Support lead pipeline tracking and updates within internal systems

Ensure information flow between leads, projects, and financial tracking is consistent

Clear and structured inbox and communication management

Leadership freed from administrative tasks

Ideal Candidate

Required

Strong bookkeeping experience

QuickBooks Online expertise

Construction industry experience

Strong understanding of job costing

Highly organized and detail-oriented

Able to manage multiple priorities

Preferred

Experience with JobTread, Buildertrend, or similar

Procurement or subcontractor coordination experience

Experience supporting operational or lead pipeline tracking

Not a Virtual Assistant role

Not entry level

Not basic admin support

This is a senior-level ownership role

Working Hours

Monday through Friday

9:00 AM to 5:00 PM EST
