Job Summary
The Property Management Administrator provides administrative and operational support to ensure the efficient management of residential, commercial, or mixed-use properties. This role is responsible for coordinating tenant communications, maintaining property records, processing documentation, assisting with lease administration, scheduling maintenance, and supporting property managers with daily operations.
Key Responsibilities
- Provide administrative support to the Property Management team.
- Maintain accurate tenant, lease, and property records in the property management system.
- Prepare, process, and organize lease agreements, renewals, notices, and other property-related documents.
- Respond to tenant inquiries and coordinate communication between tenants, vendors, and property managers.
- Schedule and track maintenance requests, repairs, inspections, and vendor services.
- Coordinate move-ins, move-outs, and property inspections.
- Process invoices, purchase orders, and assist with rent collection and payment tracking.
- Maintain filing systems and ensure all documentation is complete and up to date.
- Assist in preparing reports, budgets, and property performance summaries.
- Monitor contract renewals, insurance documents, and compliance requirements.
- Coordinate appointments, meetings, and calendars for the Property Management team.
- Support special projects and perform other administrative duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Property Management, Real Estate, or a related field is preferred.
- 2-4 years of proven experience in property management, real estate, administration, or customer service is an advantage.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and property management software (e.g., AppFolio, Buildium, PropertyMe, PropertyTree, Yardi, or similar) is preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong customer service and problem-solving skills.
- Ability to work independently and collaboratively within a team.
