We are looking for a proactive and detail-oriented Administration Support Officer with a solid background in BPO operations and experience handling client-based tasks. This role is essential in supporting internal administrative functions, compliance tracking, and report generation. The ideal candidate is highly organized, a strong communicator, and thrives in a fast-paced office environment.

Key Responsibilities:

  • Maintain and update compliance records (e.g., Continuing Professional Development/CPD)
  • Prepare and circulate internal reports including:
  • New Matter Listings
  • Settlements Reports
  • Verification of Identity (VOI) Reports
  • Time Recording Reports
  • Work-in-Progress (WIP) Reports for team members
  • Schedule key internal meetings such as WIP reviews, business development check-ins, and quarterly team updates
  • Manage file closures and ensure proper documentation and compliance
  • Maintain and distribute leave schedules; update individual calendars accordingly
  • Upload payroll data into Xero or Employment Hero systems
  • Assist with payroll processing and related administrative tasks under the guidance of the Office Manager
  • Provide general support for client-based processes and communications as needed

Qualifications:

  • Bachelors degree in Business or any related field.
  • 3+ years of experience in an administrative or support role
  • Must have prior experience working in a BPO setting
  • Proven ability to handle client-based responsibilities
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication
  • Proficient in Microsoft Office applications; experience with Xero or Employment Hero is a plus
  • Able to work independently and as part of a collaborative team

Work Setup:

  • This is a full-time, onsite position
  • Strictly office-based
