Job Description 

As a Production Accounts Person at Ogilvy Cape Town, you will play a vital role in managing financial activities and providing administrative support for the production department. You will collaborate closely with the production team and finance department to ensure accurate financial record-keeping and timely processing of invoices, expenses, and payments. Your attention to detail, organizational skills, and ability to work in a fast-paced environment will be essential to succeed in this role.

Key Responsibilities:

  1. Financial Management:
    • Maintain accurate financial records related to production projects, including budgets, invoices, and expenses.
    • Prepare and review cost estimates, ensuring they align with client agreements and internal financial guidelines.
    • Monitor project expenditures, tracking budget utilization and providing regular updates to the production team and finance department.
    • Assist in managing project profitability by identifying cost-saving opportunities and suggesting appropriate measures.
  2. Invoicing and Payments:
    • Prepare and process vendor invoices, ensuring accuracy and adherence to project timelines.
    • Coordinate with vendors and internal stakeholders to resolve any invoicing discrepancies or payment issues.
    • Maintain a system for tracking and managing payment schedules to ensure timely settlement of invoices.
    • Collaborate with the finance department to reconcile accounts payable and receivable for production projects.
  3. Financial Reporting:
    • Assist in preparing financial reports and presentations for project reviews and client meetings.
    • Provide regular updates on project financials, highlighting key metrics, trends, and potential risks to stakeholders.
    • Support the production team in preparing client billing statements and reports, ensuring accuracy and timeliness.
  4. Administrative Support:
    • Assist with general administrative tasks, including filing, data entry, and maintaining organized records.
    • Coordinate with internal teams to gather and compile necessary documentation for client audits or financial reviews.
    • Participate in meetings and discussions regarding project budgets, financial forecasts, and resource planning.
  5. Process Improvement:
    • Identify opportunities to streamline financial processes, enhance efficiency, and optimize cost control measures.
    • Collaborate with cross-functional teams to implement new systems, tools, or procedures for improved financial management.
    • Stay updated on industry trends and best practices related to production accounting and financial operations.

Requirements:

  • Bachelor's degree in finance, accounting, or a related field.
  • Proven experience in production accounting, finance, or a similar role within the advertising or marketing industry.
  • Strong understanding of financial principles, budgeting, and cost control.
  • Proficiency in financial software and tools, with advanced knowledge of Microsoft Excel.
  • Excellent organizational skills and ability to manage multiple tasks and priorities effectively.
  • Strong attention to detail and a commitment to accuracy in financial record-keeping.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Proactive problem-solving skills and the ability to work independently under tight deadlines.
  • Knowledge of local accounting regulations and tax laws is preferred.
