Position: Logistics Supervisor
Reporting to: Operation Manager / Managing Director
1. Position Overview
The Logistics Supervisor oversees the end-to-end supply chain, from the importation of raw materials for fragrance manufacturing to the domestic and international delivery of finished compounds. The mission is to ensure operational efficiency, regulatory compliance, cost control, and service excellence.
2. Key Missions
- End-to-End Coordination: Manage the flow from supplier to final customer.
- Supply Continuity: Ensure uninterrupted raw material supply for production.
- Process Optimization: Improve the speed and reliability of import/export operations.
- Regulatory Compliance: Ensure 100% adherence to customs, excise, and trade laws.
- Strategic Support: Assist Sales and Production through accurate communication and on-time delivery.
3. Main Duties & Responsibilities
A. Import & Export Management
- Import Operations: Supervise the importation of chemical and natural raw materials. Handle customs tariffs, entry reports, and import licenses.
- Export Operations: Manage documentation for finished goods, including Commercial Invoices, Packing Lists, Certificates of Origin, and ASEAN Free Trade (Form D).
- Compliance: Ensure correct HS Code classification and manage documentation for Hazardous Chemicals/Dangerous Goods (DG).
B. Shipment Planning & Coordination
- Scheduling: Prepare and follow inbound/outbound schedules for domestic and international (Air/Sea) shipments.
- Provider Management: Coordinate bookings with freight forwarders, clearing agents, and transport companies.
- Tracking: Monitor shipments and resolve delays to align with production ETAs.
C. Billing & ERP Administration
- Invoicing: Process daily deliveries and billing through the ERP system.
- Documentation: Prepare Tax Invoices, Delivery Orders, and maintain accurate archives for audits.
- Inventory Quality: Check products before dispatch to ensure accuracy.
D. Internal Coordination & Reporting
- Cross-Functional Alignment: Act as the bridge between Production, Warehouse, and Customer Service.
- Meetings: Participate in bi-weekly coordination meetings and weekly factory meetings.
- Reporting: Prepare Monthly Logistics Reports and maintain KPI Dashboards (delivery performance, clearance times, and cost tracking).
E. Regulatory & Trade Compliance
- Certifications: Maintain Department of Foreign Trade (DFT) registrations and update procedures according to Thai regulatory changes.
- Dangerous Goods (DG): Ensure full compliance with IATA Dangerous Goods Regulations for air shipments (labeling, packaging, and documentation).
4. Required Profile
- Education: Bachelors degree in Logistics, Supply Chain Management, or a related field.
- Experience: * Minimum 10 years in import/export logistics.
- Experience in Chemical, Fragrance, or Flavor industries is highly preferred.
- Technical Skills:
- Expertise in Customs procedures, HS Classification, and Free Trade Agreements.
- Air Certificate for shipping Dangerous Goods (DG) is mandatory.
- Proficiency in ERP systems and advanced Excel.
- Soft Skills: High attention to detail, problem-solving mindset, and strong coordination abilities.
- Languages: Professional English and Thai (for coordination with local authorities).
5. Key Performance Indicators (KPIs)
- Supply Continuity: Zero production downtime due to raw material delays.
- On-Time Delivery (OTD): Meeting customer deadlines consistently.
- Cost Optimization: Reducing logistics and freight expenses.
- Compliance: Zero penalties or delays due to documentation/regulatory errors.
