Administrative Assistant – Assistant to Chartered Tax Advisors (Client Service)

We are delighted to be partnering with a well-established professional services firm to recruit an experienced Administrative Assistant to support two Chartered Tax Advisors.
This is an excellent opportunity to join a respected and busy practice that works closely with legal firms, accountants, professional advisors and private clients. You'll play a key role in ensuring the smooth day-to-day running of the office while delivering an exceptional client experience.
This position would suit someone who is highly organised, proactive and enjoys working in a fast-paced professional environment where no two days are the same.
Please note: This is a fully onsite position based in Dublin 8.
About the Role
Working closely with two Chartered Tax Advisors, you'll provide high-quality administrative and client support, helping to manage busy workloads while ensuring excellent service is delivered at every stage.
This is a varied role where you'll become a central point of contact for clients, manage key administrative processes, and support the wider team with day to day operations.
Key Responsibilities
- Manage and prioritise two professionals' email inboxes
- Review, categorise and distribute incoming client correspondence
- Deliver excellent client service, resolving queries where possible at first point of contact
- Answer incoming telephone calls, direct enquiries and take accurate messages
- Manage busy diaries and coordinate appointments
- Schedule meetings and issue confirmations
- Open new client files
- Complete Anti-Money Laundering (AML) checks and maintain compliance documentation
- Update and maintain records on the firm's case management system
- Coordinate Microsoft Teams meetings and welcome clients attending the office
- Provide administrative support during client meetings, including document preparation, scanning and refreshments
- Liaise with external service providers including IT support, maintenance contractors and cleaners
- Support colleagues with additional administrative tasks as required
- Monitor the progress of client files and liaise with relevant team members to ensure work is progressing efficiently
About You
The ideal candidate will have:
- A minimum of 3 years' experience within a professional office environment
- Previous experience within a legal, tax or accountancy practice would be highly advantageous
- Excellent written and verbal communication skills
- Exceptional attention to detail
- Strong organisational and time management skills
- The ability to prioritise multiple tasks while meeting deadlines
- A proactive and reliable approach to work
- A professional and personable manner
- Strong IT skills, including Microsoft Word, Excel and Outlook
- Experience using a case management system such as Practice Evolve would be advantageous but is not essential
- A minimum typing speed of 40–50 words per minute
