About the Role
We are seeking a Care Coordination Specialist (ABA Services) to support ABA providers by handling daily scheduling, reschedules, family updates, and forward-looking schedule planning. You must speak fluent, neutral U.S. English and provide a warm, trustworthy presence for families receiving care.
This role demands excellent organization, high attention to detail, and strong comfort using Aloha and other scheduling systems.
Experience in ABA, autism therapy coordination, or behavioral health scheduling is a significant advantage, given the structure of ABA therapy sessions.
Spanish fluency is a strong plus.
Key Responsibilities
Manage Deviations & Make-Up Scheduling
- Respond quickly to day-of cancellations and changes.
- Coordinate make-up sessions, backfills, and alternative technicians.
- Apply provider-defined rules to prioritize rescheduling.
- Document recovered hours with complete accuracy.
Build & Maintain Forward Schedules
- Create weekly or monthly schedules in Aloha.
- Verify availability from families and technicians ahead of time.
- Identify conflicts early and resolve them promptly.
High-Quality Family & Technician Communication
- Speak in natural, local-sounding U.S. English that builds trust.
- Provide empathetic, supportive explanations during scheduling changes.
- Maintain strong relationships with families and technicians.
- Use Spanish when communicating with Spanish-speaking families (if applicable).
Organization, Documentation & Reporting
- Update Aloha and internal tools in real time.
- Provide daily updates to the clients CSM on scheduling health.
- Follow SOPs precisely; offer suggestions for process improvements.
What You Bring
- Experience in care coordination, patient scheduling, or healthcare operations.
- ABA/autism services experience strongly preferred.
- Exceptional organization and attention to detailaccuracy is critical.
- Fluent, neutral U.S. English with excellent phone presence.
- Friendly, high-energy communicator who builds trust easily.
- Experience with Aloha or similar scheduling platforms.
- Spanish speaking is a strong advantage.
