About the Role

The Release of Information (ROI) Request Analyst plays a vital role in ensuring that medical record requests meet all regulatory, legal, and organizational standards before they are sent to healthcare providers. You will evaluate authorization packets, validate compliance, and ensure all documentation required for a successful record retrieval is present and accurate.

This position requires a deep understanding of how medical record authorizations work, including HIPAA compliance, state-specific laws, and standard release procedures. You will work with internal teams and customers to correct deficiencies, complete missing items, and escalate exceptions when needed. Your quality checks help prevent delays and ensure that downstream teams receive fully compliant, ready-to-process requests.

Key Responsibilities

Authorization Validation & Documentation Review

  • Examine authorization forms to ensure compliance with HIPAA and individual state regulations.
  • Confirm presence of required signatures, dates, identifiers, and permitted information.
  • Validate formatting and ensure consistency across documents.
  • Identify invalid, expired, or incomplete authorizations.

PDF & Document Management

  • Correct or rebuild request packets based on customer or internal feedback.
  • Merge, annotate, or organize PDFs according to internal SOPs.
  • Enhance legibility of poorly scanned or incomplete documents.

Issue Resolution & Client Interaction

  • Communicate with customers to request missing information or advise when authorizations are invalid.
  • Provide structured, professional guidance to ensure quick resolution.
  • Maintain clear escalation pathways for urgent or complex issues.

Process Governance & Operational Insights

  • Report recurring document issues or systemic gaps.
  • Suggest workflow improvements for request intake and validation.
  • Provide feedback on tooling, documentation, and SOP evolution.

What You Bring

  • Background in ROI, health information management, or medical records operations.
  • Strong working knowledge of HIPAA and release-of-information rules.
  • Exceptional PDF editing and digital document-handling skills.
  • Strong attention to detail and accuracy across repetitive tasks.
  • Clear, concise English communication skills for professional correspondence.
  • Highly dependable, self-directed, and able to maintain quality under volume.
