About the Role

We are hiring a Provider Scheduling Specialist (ABA) to manage day-of scheduling, cancellations, reschedules, and session make-ups for ABA therapy providers. You will be the primary phone contact for families and techniciansso you must speak fluent, neutral U.S. English that feels local and comfortable to families.

This role requires exceptional organization, strong attention to detail, and confidence navigating scheduling software such as Aloha.
Experience working in ABA, autism services, or behavioral health scheduling is a significant advantage, as youll work within therapy-specific scheduling patterns.

Spanish speaking is a strong plus.

Key Responsibilities

Day-of Scheduling Management (Primary Focus)

  • Manage day-of cancellations, morning callouts, and last-minute changes.
  • Call families and technicians with warmth, clarity, and confidence.
  • Coordinate backfills and make-up sessions based on provider-established rules.
  • Track recovered hours and maintain complete accuracy in all schedule updates.

Prospective / Forward Scheduling

  • Build upcoming schedules inside Aloha, balancing provider, technician, and family availability.
  • Gather and confirm availability proactively to prevent schedule disruptions.
  • Prepare weekly or monthly forward schedules as required.

Phone Communication Excellence

  • Sound neutral and natural to U.S. callers; build trust with families.
  • Communicate changes urgently yet empathetically.
  • Maintain a friendly, high-energy tone when speaking with families.
  • Use Spanish when needed to support Spanish-speaking families (if applicable).

Documentation, Organization & Collaboration

  • Maintain real-time accuracy in Aloha and internal systems.
  • Provide daily updates to the clients CSM on cancellations and reschedules.
  • Follow SOPs precisely and contribute helpful input during process updates.

What You Bring

  • Strong experience in scheduling, coordination, or healthcare operations.
  • ABA or autism-care scheduling experience is a significant advantage.
  • Fluent, neutral U.S. English with excellent phone presence; must feel local.
  • Friendly, empathetic communicator with a trust-building tone.
  • Extremely organized with exceptional attention to detailno missed updates.
  • Proficiency with Aloha or similar scheduling tools.
  • Spanish fluency is highly beneficial.
