About the Role
We are hiring a Document Processing Specialist Healthcare to support the intake and routing of medical documentation across a high-volume workflow environment. You will manage multiple inbound sources, maintain precise documentation logs, and ensure that every document entering the system is captured, processed, and delivered to the appropriate teams.
Your work directly supports medical record retrieval, quality review, and case processing. A single missed document can slow down entire casesmaking accuracy, structure, and dependability essential in this role. You will work with digital tools, provider portals, fax systems, email platforms, and internal software to ensure the continuous flow of information across the organization.
This position is ideal for someone who excels at repetitive, detail-heavy tasks and can maintain accuracy and speed simultaneously.
Key Responsibilities
Inbound Document Processing
- Monitor multiple document intake channels, such as provider portals, inboxes, and secure systems.
- Download and organize newly received medical documentation and invoices.
- Follow established naming conventions and upload requirements.
Tracking & Workflow Logging
- Maintain a real-time tracking sheet documenting when each source was checked.
- Ensure consistent adherence to monitoring intervals to avoid missed documents.
- Identify patterns in volume or portal issues.
Document Sorting & Categorization
- Distinguish between medical records, invoices, and auxiliary documentation.
- Route files to the correct operational teams to support downstream workflows.
Coordination & Escalation
- Notify internal teams when expected documents have not been received.
- Report provider portal outages or system-specific issues.
- Collaborate closely with team members to support overall workflow efficiency.
What You Bring
- Experience in document processing, healthcare administration, or medical records intake.
- High comfort using digital tools, secure portals, and PDF editing platforms.
- Strong attention to detail and accuracy in repetitive tasks.
- Excellent organizational and multitasking abilities.
- Ability to maintain detailed logs and follow strict operational processes.
- Clear communication skills for updates and issue escalation.
- Experience with medical record retrieval software strongly preferred.
