About the Role
In this role, you will serve as a key point of contact for tenants and property management teams, providing professional communication and administrative support in both English and Spanish. The ideal candidate is proactive, organized, comfortable handling multiple priorities, and able to communicate effectively with tenants, vendors, and internal teams.

Bilingual Virtual Assistant (English/Spanish)
Key Responsibilities
Tenant & Customer Support
Serve as a professional first point of contact for tenants through phone, email, and other approved communication channels.
Respond to tenant inquiries in English and Spanish with professionalism, empathy, and urgency.
Address routine tenant concerns and determine the appropriate next steps.
Escalate complex, urgent, or sensitive concerns to the appropriate property management team.
Maintain a positive and professional tenant experience throughout every interaction.
Property Management Support
Receive, document, and coordinate maintenance requests.
Coordinate with vendors and internal teams regarding routine property-related concerns.
Follow up on outstanding tenant and maintenance requests to ensure timely resolution.
Maintain accurate tenant, property, and communication records.
Assist with property management administrative tasks and recurring account activities.
Administrative & Communication Support
Monitor and manage shared inboxes and respond to emails within established service-level expectations.
Answer, screen, and route incoming calls appropriately.
Maintain organized records and ensure information is accurately documented in the appropriate systems.
Update property management software, CRM platforms, spreadsheets, and other client systems as required.
Support the property management team with administrative tasks and special projects.
Follow established client-specific SOPs and processes.
Proactive Account Support
Identify recurring tenant concerns, communication gaps, or operational issues and bring them to the team's attention.
Follow through on assigned tasks rather than waiting for repeated instructions.
Maintain clear communication with the team regarding outstanding items, blockers, and completed work.
Help ensure continuity of service during staff absences or coverage periods.
Qualifications
Required
Fluent in English and Spanish, both spoken and written.
1–2+ years of experience in customer service, virtual assistance, property management, leasing, front desk, administrative support, or a related role.
Strong verbal and written communication skills.
Excellent customer service and problem-solving skills.
Highly organized with strong attention to detail.
Ability to manage multiple tasks and priorities while meeting deadlines.
Comfortable working independently in a remote environment.
Proactive, dependable, and responsive during working hours.
Strong computer and internet skills.
Proficiency in Google Workspace, Zoom, Microsoft Teams, and similar collaboration tools.
Experience with property management software, CRM systems, or ticketing platforms is an advantage.
Preferred
Previous experience supporting U.S. property management or real estate clients.
Experience working with tenants, leasing teams, maintenance vendors, or property managers.
Familiarity with platforms such as AppFolio or other property management systems.
Experience working with shared inboxes, call management systems, or customer support platforms.
