Salary range: $45,000 - $60,000, plus incentive 


Position Overview:

We are seeking a proactive and highly organized Executive Assistant to support our executive leadership team. This role requires a resourceful individual who thrives in a fast-paced environment, can manage multiple priorities, and is comfortable traveling across Canada as needed. The ideal candidate will possess exceptional communication skills, exercise discretion, and demonstrate a strong ability to anticipate needs and solve problems independently.

Key Responsibilities:

  • Provide high-level administrative support to executives, including calendar management, meeting coordination, and email correspondence.

  • Coordinate and manage travel plans, accommodations, and itineraries for executives across Canada.

  • Prepare reports, presentations, and briefing materials for meetings and events.

  • Serve as a liaison between executives and internal/external stakeholders.

  • Organize and attend meetings, take minutes, and follow up on action items.

  • Assist with project management tasks, research, and documentation.

  • Maintain confidentiality and handle sensitive information with discretion.

  • Manage office-related administrative duties as required.

Requirements:

  • Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role.

  • Willingness and ability to travel frequently across Canada on short notice.

  • Strong organizational and time-management skills, with the ability to prioritize effectively.

  • Excellent verbal and written communication skills.

  • High level of discretion, integrity, and professionalism.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to work independently and adapt quickly to new environments.

  • Post-secondary education in Business Administration, Communications, or a related field is preferred.

  • Willingness and ability to travel, minimum 50% of travel

Bonus Points:

  • Experience working with executive-level professionals in a fast-paced industry (e.g., Education, Real Estate, Immigration, Hospitality).

  • Multilingual abilities, including proficiency in English.

  • Hindi and French, consider an asset, not required

  • Ability to start as soon as possible
