Portal Admin & Billing Support
The Portal Admin & Billing Support is responsible for ensuring accurate, timely, and compliant submission of work order (WO) invoices across multiple customer portals. This role plays a critical part in revenue realization by managing billing processes, monitoring portal statuses, reviewing invoice details, and ensuring all required documentation and approvals are secured.
In the absence of workload, the Portal Admin & Billing Support is expected to assist in the billing support on their workload.
KEY RESPONSIBILITIES
Portal Admin
- To make sure all invoiced portal WO's will be uploaded accurately and in a timely manner.
- To submit NTE proposals to all portals that needed an NTE increase.
Service Dispatch Support Duties
- Editing Billing Comments
- Adding Equipment
- Monitoring Portal Billing Statuses
- Submitting after the fact NTE increases (Ecotrak, Corrigo, Service Channel, Vixxo)
- Checking Part Prices- Making sure part prices are marked up
- Reviewing Labor- Making sure not to bill for techs that are training or quoted tech lines
- Giant Eagle PM Billing- Adding all equipment to the service order before billing
- Submitting any invoice/required invoice on portal as requested
- Sending invoices requested to customer
- Updating contact information on Customers account

- Highly organized with the ability to prioritize and manage multiple tasks
- Demonstrates the ability to work cross-functionally with other departments

- Customer-focused mindset and problem-solving ability
- Able to work collaboratively with technicians, managers, and office staff
- Proficient in accounting, billing, and high-volume data entry
- Maintains a high level of accuracy and attention to detail in financial transactions
Educational background required / desired:
- High school diploma or equivalent (associate or bachelors degree preferred) OR
- 1–3 years of experience in billing, AP, or customer service role
