About the Role:
The Talent Acquisition Coordinator provides critical administrative and coordination support to the Talent Acquisition Manager and HR Business Partners by managing interview scheduling, candidate communication materials, and recruiting related logistics. This role ensures smooth, professional, and efficient experience for candidates, hiring managers, and interviewers while maintaining accuracy and confidentiality throughout the hiring process.
KEY RESPONSIBILITIES
Interview Scheduling & Coordination
- Schedule interviews across multiple time zones for candidates, recruiters, and hiring teams
- Coordinate virtual and onsite interviews
- Manage calendar availability, rescheduling, and last-minute changes
- Prepare interview details and logistics (links, locations, materials)
Candidate Communication
- Send interview invites, confirmations, reminders, and follow-up communications
- Provide professional and positive candidate experience at every touchpoint
Administrative Support
- Maintain accurate candidate records in the Applicant Tracking System (ATS)
- Track interview status, outcomes, and next steps
- Generate reports and assist with recruiting metrics as needed
- Support background checks, offer process coordination, and pre-hire documentation when required
Process & Team Support
- Support TA Manager and HR business partners with high volume requisitions and administrative tasks
- Identify scheduling or process inefficiencies and recommend improvements
- Assist with recruiting initiatives and special projects as assigned
SKILLS AND QUALIFICATIONS
- 1–3 years of administrative, scheduling, or coordination experience (HR or recruiting preferred)
- Strong organizational and time management skills
- High attention to detail and ability to manage competing priorities
- Professional written communication skills
- Experience with Outlook calendaring and scheduling virtual meetings in Teams and/or Zoom
- Comfort handling confidential and sensitive information
- Experience supporting high volume or fast paced recruiting environments
- Experience using an ATS or HRIS (e.g., Dayforce, Workday, Greenhouse)
